Job Summary:
We are seeking a detail-oriented and proactive Part-Time Administrative Assistant to support our daily operations, with a primary focus on managing the permitting process and scheduling appointments. This role is crucial for ensuring smooth project flow and excellent customer communication.
Responsibilities:
- Permitting:
- Prepare and submit permit applications to relevant local municipalities.
- Track the status of permits and follow up with authorities as needed.
- Maintain organized records of all permit-related documentation.
- Communicate permit updates to internal teams and customers.
- Scheduling:
- Coordinate and schedule installation appointments with customers and installation teams.
- Manage and maintain the appointment calendar, ensuring efficient routing and time management.
- Confirm appointments with customers and provide necessary pre-appointment information.
- Reschedule appointments as needed, communicating changes effectively.
- General Administrative Support:
- Answer phone calls and direct them appropriately.
- Manage incoming and outgoing mail and email.
- Maintain office supplies and ensure a well-organized workspace.
- Assist with data entry and record-keeping.
- Perform other administrative tasks as needed to support the team.
Qualifications:
- Proven administrative experience (minimum 1 year preferred).
- Strong organizational and time-management skills with the ability to prioritize tasks effectively.
- Excellent attention to detail and accuracy.
- Proficient in basic computer applications (e.g., Microsoft Office Suite).
- Excellent communication skills, both written and verbal.
- Ability to work independently and as part of a team.
- Must have reliable transportation to and from our Apopka office.
- Experience with permitting processes is a plus, but not required (training will be provided).
- Customer service oriented with a professional and positive attitude.
Schedule:
- Part-time, approximately 25 to 30 hours per week.
- Monday through Friday.
Compensation:
- $17.00 per hour.
