Job Description:
The Accounting Assistant/Clerical Assistant position supports the Plant Operations department with ordering of supplies and other purchasing needs. This position supports the Accounts Payable and Accounts Receivable departments in day to day activities, as well as, acting as clerical assistant
Duties and Day-to-Day Responsibilities, but not limited to the following:
- · Issues purchase orders
- · Places orders for the operating facilities
- · Accounts Payable
- o Codes data for input to financial data processing system according to company procedures
- o Verifies and posts details of business transactions, such as purchase orders and invoices, and maintains computer spreadsheets and databases
- o Audits invoices against purchase orders and research discrepancies
- o Investigates problems that vendors or purchasing agents have with obtaining payment for bills
- · Accounts Receivable
- o Print Shipping Packets from SharePoint for AR invoicing
- o Print the associated documents from GP for AR invoicing
- · Prepares reports as requested
- Run Errands and picks up supplies for plant
- Answers phone
- Checks PO Box and prepares incoming out going mail
- Sets up for meeting and lunchs and conference calls
- Oversee supplie closet and supplies in plant
- Restocks safety supplies
- Back up to HR Assistant when needed.
- Special Projects and assit with inventory.
- May require weekends and overtime on occassion
Minimum Training, Education, and Experience Requirements:
· Associatesdegree preferred (equivalent educational training or business experience may be accepted)
· Experience using Microsoft Dynamics Great Plains or similar software is preferred
· Intermediate knowledge and experience in Microsoft Office including Excel and Outlook is necessary
· Able to effectively interface with internal and external customers
· Must be able to handle confidential information with maximum discretion
· Able to understand business principles and apply them accordingly
· Able to work independently and on a team within a fast-paced environment
· Demonstrate good judgment while managing projects, multi-tasking, prioritizing, and meeting deadlines with a sense of urgency
