Position Summary
The Procurement Clerk is responsible for managing the organization's procurement processes to ensure timely acquisition of goods and services while adhering to budgetary constraints and compliance standards. This role supports the organization’s mission by optimizing procurement strategies and fostering relationships with suppliers to secure quality resources.
Essential Functions
Procurement Planning:
- Collaborate with program managers and departments to understand procurement needs and forecast requirements.
- Develop and maintain a procurement schedule to align with project timelines.
Vendor Management:
- Identify, evaluate, and negotiate with suppliers to establish partnerships.
- Maintain a database of preferred vendors and regularly assess their performance.
- Ensure adherence to ethical and sustainable sourcing practices.
Contract Management:
- Draft, review, and manage procurement contracts in compliance with organizational policies and donor regulations.
- Monitor contract performance and resolve any discrepancies or disputes.
Compliance and Reporting:
- Ensure all procurement activities comply with internal policies, donor requirements, and relevant legal regulations.
- Maintain accurate records of procurement activities and generate periodic reports for management and stakeholders.
Cost and Quality Control:
- Conduct market research to identify cost-effective purchasing opportunities.
- Ensure the quality of purchased goods and services meets organizational standards.
Qualifications:
Education and Experience
- High School diploma or equivalent.
- Minimum of two years of experience in procurement or related fields, preferably in a nonprofit or donor-funded environment.
- Strong knowledge of procurement principles, practices, and regulations.
- Proficiency in procurement software and Microsoft Office Suite.
- Excellent negotiation, communication, and organizational skills.
- Demonstrated ability to manage multiple projects and deadlines.
- Familiarity with ethical sourcing and sustainable procurement practices.

This is a full-time position with varying hours of work: Monday through Friday, 8:30 p.m. to 5:00 p.m. This position may require after-hours and weekend work.

Travel
Travel is primarily local during the business day, although some out-of-the-area and overnight travel may be expected.

Physical Tasks and Working Conditions:
- Office and classroom work requires sitting for extended periods of time.
- Using a computer, keyboard, and screen, as well as teaching tools (whiteboard, projector, etc.)

- Must be able to withstand different environmental conditions, including outdoor conditions, extreme heat and/or cold, and loud noise level.
