Overview: We are seeking a highly organized and detail-oriented Executive Administrative Assistant to join our team.
As an Executive Administrative Assistant, you will provide comprehensive administrative support to our executive team, ensuring smooth operations and efficient workflow. This is a full-time position with competitive pay and opportunities for career growth.
Responsibilities: - Perform administrative tasks such as managing calendars, scheduling appointments, and coordinating meetings
- Coordinate travel arrangements and prepare itineraries for executives
- Prepare and edit correspondence, reports, and presentations
- Conduct research and compile data for various projects - Assist with project coordination by tracking progress, deadlines, and deliverables
- Handle confidential information with discretion and maintain strict confidentiality at all times
- Manage office supplies inventory and place orders as needed
- File documents, maintain records, and organize files both electronically and physically
- Transcribe meeting minutes and other important documents accurately - Type, proofread, and format documents as required
- Utilize Google Suite applications for email communication, document creation, and collaboration
- Assist with data entry tasks as necessary
- Coordinate with external vendors, clients, and stakeholders as required
- Support the executive team in any ad-hoc administrative tasks Skills:
- Proven experience in an administrative role or similar capacity
- Strong organizational skills with the ability to prioritize tasks effectively - Proficiency in using Google Suite applications (Gmail, Google Docs, Google Sheets)
- Excellent data entry skills with a high level of accuracy and attention to detail - Ability to manage multiple calendars and schedule appointments efficiently
- Exceptional written and verbal communication skills
- Proficient in transcribing meeting minutes accurately
- Familiarity with office equipment such as printers, scanners, and copiers - Knowledge of DocuSign or similar electronic signature platforms is a plus
