Job Overview:

The Backoffice & Inside Sales Support person will focus on managing and following up with newly generated leads, particularly targeting smaller customers, to allow the sales team to concentrate on distributors and major accounts. This role will also involve hosting customers who visit the office or the Training Center, assisting with trade shows, exhibitions, and conferences, and supporting overall sales efforts with administrative tasks. The goal is to ensure smaller customer needs are efficiently addressed, contributing to sales growth and supporting the broader sales team.

As part of an international, multicultural laser technology company, this role requires the ability to adapt to a diverse and dynamic environment, working with customers and colleagues from various cultural backgrounds. Key Responsibilities:

Lead Follow-up & Nurturing:

Follow up on new leads generated through marketing efforts, ensuring timely engagement with potential customers.

Nurture relationships with small or new customers by providing product information, answering queries, preparing and sending out quotations, and moving them through the sales process.

Prioritize and track follow-up activities, ensuring no lead is left unaddressed.

Customer Engagement:

Focus on small-sized customers, addressing their needs and offering solutions to drive sales.

Develop rapport with smaller clients, assisting them with product information, pricing inquiries, and general support.

Serve as the first point of contact for smaller customers, ensuring a high level of service and satisfaction.

Sales Support for Main Accounts:

Relieve the sales team to focus on larger distributors and key accounts by handling smaller customer accounts and routine inquiries.

Maintain effective communication with the sales team to ensure alignment on priorities and goals for larger accounts.

Customer Hosting & Office Support:

Host and assist customers visiting the office or Theo Academy, providing a welcoming environment and ensuring a positive customer experience.

Coordinate and facilitate meetings, product demos, or training sessions for visiting clients.

Ensure all logistics for office or Theo Academy visits are organized and efficient.

CRM & Lead Tracking:

Update and maintain accurate records of all interactions with leads and smaller customers in the CRM system.

Track lead status, report on lead progress, and assist the sales team with follow-up actions needed to close deals and keep the CRM data accurate.

Sales Reporting & Feedback:

Generate and maintain reports related to lead follow-up, customer interactions, and sales activities for internal tracking.

Provide feedback to the sales team and management on market trends, customer interests, and opportunities for upselling or cross-selling.

Trade Show, Exhibition & Conference Support:

Support the sales team in preparing for and participating in trade shows, exhibitions, and industry conferences.

Assist with booth setup, customer engagement at events, and follow-up with leads generated at these events.

Represent the company at events when necessary, providing product information, and promoting the brand to potential customers.

Collaboration with Sales Team:

Work closely with the sales team to align on lead-handling strategies and ensure the smooth transition of leads from the backoffice to the sales team.

Share customer insights and feedback with the sales team to help refine sales strategies and product offerings.

General Administrative Support:

Assist with day-to-day administrative tasks related to customer inquiries and sales processes.

Support marketing and other departments in organizing customer events, promotional activities, and campaigns as needed.

Other Tasks:

Perform other tasks and duties as assigned by the company, related to inside sales support, customer service, or sales team needs.

Required Skills & Qualifications:

Experience: Previous experience in inside sales, customer support, or administrative roles, particularly in a sales environment.

Lead Management: Strong skills in lead follow-up and nurturing to maintain customer interest and drive sales.

Communication Skills: Excellent verbal and written communication skills, with the ability to engage and support customers effectively.

Customer-Focused: Ability to manage smaller customer accounts, ensuring that their needs are addressed promptly and efficiently.

Organizational Skills: Strong ability to prioritize tasks and manage time effectively.

Tech Proficiency: Comfortable using CRM systems, Microsoft Office Suite, and other sales tools to manage leads and track sales activities.

Event Support: Experience supporting trade shows, exhibitions, or conferences is a plus.


Preferred Skills:

Experience with lead generation, customer engagement, or sales support in a B2B environment.

Familiarity with CRM systems and lead tracking processes.

Previous experience hosting or supporting clients in a customer-facing environment.

Basic knowledge of the welding and laser market to provide detailed information to customers.

Language Skills: Proficiency in Chinese, Spanish, or other languages is a plus to support global customer interactions.

Multicultural Experience: Familiarity with multicultural environments is a plus.
