Responsibilities:
- Provide end-to-end facility support for colleagues hosting visits, including ordering catering, reserving meeting rooms, and managing stationery
- Welcome and direct visitors, ensuring a compliant check-in process
- Answer and screen incoming phone calls and emails
- Receive and sort mail, deliveries, and couriers, notifying relevant colleagues
- Maintain security by following procedures, controlling access, and managing visitor registration
- Order, receive, stock, and distribute office and cleaning supplies
- Collect and verify incoming invoices, uploading them to the ERM system
- Assist with other clerical duties such as distributing internal communications, raising purchase orders, and filing
- Optimize meeting room facilities and liaise with IT for operational equipment
Requirements:
Education:
- High School Diploma
Experience
- One year (1) of relevant work experience
- Proven experience as a receptionist and/or admin is an advantage
- Excellent verbal and written communication skills in English
- Proficiency in Microsoft Office Suite, with strengths in Word, Excel, and Outlook
- Ability to learn new IT and communications tools and systems
Knowledge Skills and Abilities:
- Self-motivated with a proactive approach to running a smooth office operation
- Strong attention to detail and ability to perform monotonous work
- Demonstrable customer service excellence
- Proven experience in organizing, multitasking, and prioritizing under pressure
- Resourceful and proactive in problem-solving
