The Executive Assistant will provide comprehensive administrative support to the Chief Executive Officer (CEO) and the Senior Leadership Team to ensure they can excel in their respective roles. The ideal candidate will be a detail-oriented professional with exceptional communication and organizational skills, capable of managing a dynamic workload while maintaining a high degree of professionalism and confidentiality.
ESSENTIAL DUTIES AND RESPONSIBILITIES
• Manage and coordinate calendars, meetings and appointments for the CEO and senior leadership team.
• Prepare and organize materials for meetings, including agendas, presentations, reports and meals.
• Serve as a liaison between the CEO, Senior Leadership Team, associates, customers, and external stakeholders.
• Draft, proofread and distribute correspondence, reports, and presentations.
• Organize, prepare materials for, and attend leadership meetings, ensuring efficient follow-up on action items and deadlines.
• Assist with the execution of various projects as directed by the CEO and Senior Leadership Team, tracking progress and deadlines to ensure timely completion.
• Coordinate complex travel itineraries for the CEO and senior leadership, including booking flights, accommodations, ground transportation, and preparing detailed itineraries.
• Handle sensitive information with the utmost confidentiality, ensuring that all interactions and documentation are appropriately safeguarded.
• Provide general office support, including managing office supplies, processing expenses, and maintaining a smooth workflow within the executive office.
• Assist in the organization and execution of special events, board meetings, company-wide communication, and other key initiatives as directed.
• Perform other related duties, as assigned.
POSITION REQUIREMENTS
• Bachelor’s degree in business administration, communications, or related field preferred.
• At least 5 years of experience in an executive support or administrative role, preferably in a corporate or fast-paced environment.
• Ability to handle occasional after-hours work as required by the CEO and leadership team.
• Strong proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
• Excellent verbal and written communication skills.
• Exceptional organizational and time management skills.
• Ability to manage multiple priorities and adapt to changing needs in a dynamic environment.
• High level of professionalism, with the ability to interface with senior-level executives, board members, and external partners.
• Proactive, resourceful, and capable of working independently.
• Strong attention to detail and ability to maintain confidentiality.
• Ability to work well under pressure and meet deadlines.

Salary : $70,000 - $80,000
