What are the responsibilities and job description for the Administrative Assistant position at Thompson Engineering?
Thompson Engineering is looking for an Administrative Assistant to work in Lake Charles, LA. This position is responsible for performing clerical and office support activities necessary for the office to effectively operate its day to day operations. This position may work under the general direction of our Team leaders or a higher level Administrative Assistant. This position may serves as the initial greeter for all incoming visitors and works closely with our field inspectors coordinating administrative responsibilities.
DUTIES
1. Manage and coordinate schedules for the assigned personnel.
2. Prepare correspondence, reports and other client related documents from dictation, hand-written materials, and general directions.
3. Ensure accuracy and clarity of all outgoing materials before submission.
4. Set up and maintain project and activity files.
5. Prepare project set up information and project profiles for billing purposes.
6. Maintain records of Engineer's licensure, training and certifications.
7. Prepare PowerPoint presentations for client meetings.
8. Prepare agendas and meeting notes from staff and in-house meetings.
9. Maintain current client information and assist in client communications.
10. Assist in billing and invoice review.
11. Assist in maintaining and tracking project expenditures.
12. Maintaining up to date laboratory test logs and transferring information to accounting.
Other Responsibilities
1.Serves as back up in answering office phones and receptionist duties.
2. Backup for ordering and tracking office supplies.
3. Plan or assist in the planning of company special events
4. Conduct all work activities in compliance with Thompson Holdings, Inc. Health, Safety & Environmental Management System, safety policies & procedures, safety execution plans and Job Safety and Environmental Analyses.
5. Attend and pro-actively participate in monthly safety meetings, project toolbox safety meetings and safety moments
6. Other duties as required
QUALIFICATIONS
Minimum Requirements
1. High School diploma or equivalent.
2. Associates degree in a relevant field of study is preferred.
3. Three to five years of experience in a professional office environment.
4. Must have a valid driver's license
5. Effective written and oral communication skills.
6. Proficient with Microsoft Word, Excel, and Outlook required, PowerPoint, Publisher, and Adobe Standard is preferred.
7. Must be willing to work flexible schedules and overtime as needed by the department needs.
Physical Requirements
1. Ability to sit for long period of time and operate a computer and other office equipment.
2. Ability to stoop and bend for filing

4. Must be able to lift and carry up to 25 lbs.
