Job Summary: The Office Administrative Assistant is responsible for overseeing the daily administrative operations of the office to ensure that all tasks are performed efficiently. This role is crucial for maintaining a productive work environment, ensuring effective communication within the office, managing office supplies, supporting staff, and handling key operational and logistical tasks.
Key Responsibilities:
- Office Administration:
- Manage office operations and procedures to ensure organizational effectiveness.
- Oversee office maintenance, supplies, and inventory to ensure a clean and well-stocked work environment.
- Monitor office expenses, and handle invoice processing.
- Team Support:
- Provide administrative support to management teams.
- Assist with onboarding new employees, preparing workstations, and managing documentation.
- Handle office correspondence, manage incoming calls, and respond to inquiries in a timely manner.
- Scheduling & Event Coordination:
- Manage calendars, schedule meetings, and coordinate appointments for the leadership team.
- Organize company events, meetings, and team-building activities.
- Document Management:
- Ensure the proper filing and organization of company documents.
- Assist with the preparation and distribution of reports and presentations.
- Maintain confidentiality and security of sensitive company information.
- Communication & Liaison:
- Serve as the primary point of contact for internal staff and external vendors.
- Foster effective communication between departments and teams to facilitate smooth operations.
- Manage mail, deliveries, and shipments.
- Other Duties:
- Handle ad-hoc tasks as required, contributing to the overall efficiency and success of the office and the management team.
