Job Summary: The Office Administrative Assistant is responsible for overseeing the daily administrative operations of the office to ensure that all tasks are performed efficiently. This role is crucial for maintaining a productive work environment, ensuring effective communication within the office, managing office supplies, supporting staff, and handling key operational and logistical tasks.

Key Responsibilities:

  • Office Administration:
  • Manage office operations and procedures to ensure organizational effectiveness.
  • Oversee office maintenance, supplies, and inventory to ensure a clean and well-stocked work environment.
  • Monitor office expenses, and handle invoice processing.
  • Team Support:
  • Provide administrative support to management teams.
  • Assist with onboarding new employees, preparing workstations, and managing documentation.
  • Handle office correspondence, manage incoming calls, and respond to inquiries in a timely manner.
  • Scheduling & Event Coordination:
  • Manage calendars, schedule meetings, and coordinate appointments for the leadership team.
  • Organize company events, meetings, and team-building activities.
  • Document Management:
  • Ensure the proper filing and organization of company documents.
  • Assist with the preparation and distribution of reports and presentations.
  • Maintain confidentiality and security of sensitive company information.
  • Communication & Liaison:
  • Serve as the primary point of contact for internal staff and external vendors.
  • Foster effective communication between departments and teams to facilitate smooth operations.
  • Manage mail, deliveries, and shipments.
  • Other Duties:
  • Handle ad-hoc tasks as required, contributing to the overall efficiency and success of the office and the management team.

Skills & Abilities:

  • Strong organizational and multitasking abilities.
  • Excellent communication and interpersonal skills.
  • Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
  • Strong problem-solving skills and ability to handle multiple tasks simultaneously.
  • Knowledge of office equipment, supplies management, and basic accounting principles.
  • Ability to work independently and as part of a team.
  • Time management and attention to detail.

Job Type: Full-time

Pay: $20.00 - $22.00 per hour

Expected hours: 40 per week
