Position Overview:
We are seeking an organized, detail-oriented, and compassionate Administrative Assistant to support the daily operations of our clinic. You will work alongside our therapy team to ensure smooth communication with families, accurate billing, and effective use of our clinic’s systems. Key Responsibilities:
- Client Communication: Serve as the first point of contact for families, answer calls, schedule appointments, and provide essential information about services.
- Medical Billing: Handle billing for therapy services, process insurance claims, follow up on unpaid claims, and ensure accurate coding and compliance.
- Data Management: Organize and maintain client files and therapy documentation, ensuring compliance with privacy and confidentiality regulations.
- Administrative Support: Assist with daily office tasks such as filing, faxing, and managing calendars for therapists and other team members.
- Google Workspace Management: Utilize Google Sheets, Docs, and Calendar to track appointments, manage data, and collaborate with the team.
- Professional Support: Maintain a welcoming, professional, and positive office atmosphere for families, staff, and visitors.
Qualifications:
- Proficient in medical billing, including insurance verification, coding, and processing claims.
- Experience with Google Workspace (Docs, Sheets, Calendar) and basic office software.
- Strong organizational skills with the ability to handle multiple tasks simultaneously.
- Professional, honest, and compassionate with excellent communication skills.
- Ability to maintain confidentiality and work in compliance with HIPAA guidelines.
- Previous experience working in a medical or therapy clinic setting is a plus, especially in the pediatric or special needs field.

Job Type: Full-time
Pay: $15.00 - $19.00 per hour
Expected hours: 33 – 43 per week
