The Front Desk Receptionist serves as the first point of contact for clients, visitors, and staff. This role is responsible for providing exceptional customer service, handling incoming calls, and maintaining a welcoming and organized reception area. The ideal candidate will have excellent communication skills, a friendly demeanor, and the ability to multitask efficiently.

Key Responsibilities:

  • Greet and Welcome Guests: Warmly greet all visitors and clients, ensuring a positive first impression. Guide them to the waiting room or appropriate individual as needed.
  • Answer and Direct Calls: Answer incoming calls promptly and either direct them to the appropriate person, complete a phone intake, or take a message.
  • Schedule Appointments: Assist with scheduling appointments and managing the organization’s calendar as needed.
  • Manage Mail and Deliveries: Receive and distribute mail and deliveries, ensuring items reach the correct recipients in a timely manner.
  • Maintain Reception Area: Ensure the front desk and reception areas are clean, organized, and well-stocked with any necessary materials.
  • Administrative Support: Assist with administrative tasks, such as client payment processing, data entry, filing, and document management.
  • Customer Service: Address inquiries from clients and visitors, providing accurate information and handling any issues or complaints professionally.
  • Security Protocols: Monitor visitor access as necessary, ensuring compliance with company security protocols.

Experience/Qualifications/Skills:

  • High school diploma or equivalent required; additional training in customer service or office administration preferred.
  • Prior experience in a receptionist or front desk role preferred.
  • Experience with SimplePractice or other electronic health record systems (EHR) preferred.
  • Excellent verbal and written communication skills
  • Strong organizational skills and attention to detail
  • Ability to multitask and prioritize tasks effectively
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and familiarity with office equipment (e.g., fax machines, printers)
  • Friendly and professional demeanor
  • Must be punctual and reliable, with a positive attitude and a strong sense of responsibility.

Physical Requirements:

  • Ability to sit for extended periods
  • May occasionally lift up to 20 pounds

Work Schedule:

Monday through Friday—8:30 am to 5:00 pm

Job Type: Full-time

Pay: $15.00 - $20.00 per hour

Expected hours: 40 per week

Schedule:
