What are the responsibilities and job description for the Front Desk Receptionist/Office Assistant position at Thrive Counseling & Wellness PLLC?
The receptionist will be responsible for all client communication coming in via call, text, and email. In addition to these duties, the receptionist will assist other receptionists with day to day tasks including, but not limited to, maintaining cleanliness of office, scanning documents, scheduling appointments, and assisting clinical staff. The schedule would be vary during the afternoons between 12:00pm and 6:30pm. This is a tentative schedule and is subject to change.
Major Areas of Responsibility:
- Respond to all phone calls, texts, and emails from clients
- Oversee client check-in and check-out process
- Assist other receptionists and clinical staff with other daily tasks
- Coordinate with receptionist for daily and end-of-day tasks
Tasks:
Billing/Financial:
- Maintain completion of entering insurance payments and updating claims spreadsheet, as necessary
- Scan and complete weekly deposits to the bank
Intake Duties:
- Schedule appointments, as necessary
- Scan intake documents into SP files, as necessary
Receptionist Duties:
- Answering telephone calls and text messages from clients
- Notify therapists of client cancellations and messages
- Assist therapists with client and office needs
- Keeps client appointment times on schedule by notifying provider of client’s arrival
- Scheduling of playroom and art/sandtray rooms
- Daily scheduling of office sharing for therapists
- Assist in clean up of playroom as necessary
- Collect daily copays from clients upon arrival
- Maintain office cleanliness (i.e. pickup waiting area, wash dishes, take out trash)
- Maintain a strict code of ethics regarding client confidentiality by adhering to all HIPAA regulations
- Open and sort daily mail
- Maintain office cleanliness
- Open/close office
- Send End of Shift report daily to other receptionists and Supervisors
- Perform other clerical duties such as photocopying, faxing, etc.
- Assist with other administrative tasks as needed
Required Knowledge, Skills, and Abilities:
- Solid written and verbal communication skills
- Ability to be resourceful and proactive when issues arise
- Professional attitude and appearance
- Multitasking and time-management skills, with the ability to prioritize tasks
- Customer Service Attitude
- Excellent organizational skills
Education and Experience:
- Minimum of 6 months experience in an office setting is required, medical or mental health setting is preferred
- Bilingual: English and Spanish preferred
