What are the responsibilities and job description for the Corporate Executive Assistant position at Thruway Fasteners?
POSITION SUMMARY
This important role will directly support the Chief Operating Officer, select members of the COO’s staff, and the Leadership Team, on various significant activities for Thruway, its owners and management team. As a key member of this team, this individual will need to maintain strict confidentiality as she/he will have access to information that requires a high level of discretion. The core duties often include managing calendars, arranging travel, preparing reports and handling correspondence. In addition to administrative tasks, this person will be involved in project management, coordinating between departments and assisting the executive with business strategies. They serve as a liaison between the COO and the organization ensuring clear communication and efficient operation.
To be successful, this individual must be adept at multitasking, possess excellent communication skills, both written and verbal, and be flexible with managing priorities. This job position will include the following functions below:
Assistance with Administration
Thruway has a continuous flow of contracts and documents that follow a process for editing, tracking and approval. This person will work with the COO, various members of his staff, members of the Leadership Team and their respective Executive Assistants, to provide support in the process of document requests, requirements and follow-up.
Meeting and Presentation Coordination
Thruway prides itself on having good communication within its management team and among our employees. This person will assist with the coordination of our Leadership Team meetings, Monthly Management Team meetings, Town Hall Meetings, including assisting with the preparation of the presentations and data required.
Monthly Sales Reporting
As a distribution company, analyzing customer sales and profitability changes and trends is an important process to maintain. This person will assist the COO in gathering reports, data and summarizing findings to present and/or distribute to the Leadership, management and sales teams. In addition, Thruway utilizes a Customer Relationship Management (“CRM”) system to track sales opportunities, and the Corporate Executive Assistant will assist with producing reports using the data in the CRM system.
Project Resource
Thruway is continuously improving and challenging its processes and procedures. This person will participate in assisting the Chief Operating Officer, select members of the COO’s staff, and the Leadership Team, with a variety of projects. As an example, Thruway has experienced significant growth and will be updating a variety of processes. This individual will assist the respective project teams in establishing and/or documenting the new processes.
Generalist
As one who will be assisting the Chief Operating Officer with their responsibilities, this individual will be a critical team member by helping to get priority projects completed, which will result in responsive communications with our customers, employees and shareholders. Flexibility, confidentiality and trustworthiness are critical to this role!
REQUIRED COMPETENCIES & QUALIFICATIONS
This Individual must possess a positive attitude and excellent communication skills allowing for interaction with Thruway’s Leadership Team, management team, associates and in some cases, with customers. An associate’s degree in business, certification as an administrative professional or the equivalent education and work experience is required. Additional skills include:
- Ability to maintain confidentiality with access to sensitive information
- Excellent organizational skills
- Proficient computer skills and competency with MS Office Suite (Word, Excel and PowerPoint)
- Ability to learn reporting aspects of our ERP systems.
- Good judgment, integrity and ethical standards
- Self-motivated, effective time management, and ability to quickly adapt to changing priorities
- Accuracy and attention to detail
- Good written, listening, verbal and interpersonal communication skills
- Professional demeanor and appearance at all times
- Notary Public (or commitment to obtain at Thruway’s expense)
- Possession of Valid Driver’s License
WORK ENVIRONMENT
- Steady-paced and flexible office environment
- Estimated to be sitting 80% of time / standing and movement 20% of time
- Minimal overtime is expected
