Position Overview: As the CSA, you will play a crucial role in ensuring the smooth operation of our office. You will oversee all client servicing matters such as new account openings, transfers, onboarding new clients, etc. This role will also entail administrative functions, marketing operations, supporting the staff, and creating an efficient work environment. The ideal candidate is preferred to have 2 years in the financial services industry with knowledge of financial CRM systems and other platforms. This role provides a pathway for growth within the firm, with opportunities to take on increased responsibilities in client relations, financial planning, or operations management.
Key Responsibilities:
- Manage daily office operations, including administrative tasks, supplies, equipment, client relationships, and vendor relationships.
- Responsible for day-to-day operations and administrative support for the team, answering inbound calls and email requests, scheduling, and gathering client data for ongoing service processes.
- Coordinate schedules and meetings and prepare any necessary documents for the meeting.
- Oversee onboarding new clients, processing transfer paperwork, and setting up new accounts while coordinating with the team, custodians, and clients.
- Ensuring all paperwork and client request procedures are completed and comply with compliance requirements.
- Update of our CRM and client files as needed.
- Serve as the main point of contact for office management and client services.
- Ensure client documentation is up to date, invoicing and client correspondence as needed.
- Implement and improve business marketing operations such as overseeing social media outreach (LinkedIn), organizing events, and brand outreach.
- Ordering/sending birthday cards and holiday gifts.
Qualifications:
- Bachelor’s degree in Business Administration, Financial Services, Finance, or a related field preferred.
- 2 years of experience in as a Client Service Associate or administrative role, preferably in a financial services environment.
- Familiar with LPL Financial, Fidelity or Charles Schwab platforms.
- Proficient in Microsoft software.
- Excellent organizational skills and attention to detail.
- Strong interpersonal and communication skills.
- Ability to multitask and prioritize effectively in a fast-paced environment.
- Knowledge of basic financial principles is a plus.
- Experience working with CRM platforms is a plus
