Intake Specialist Description:
Intake Specialist corresponds directly with clients and caregivers about services that may be needed and connect them with the therapist. As an Intake Specialist, you will play a crucial role in ensuring smooth operations at our mental health clinic. Your primary responsibility will be to greet patients, collect their information, schedule appointments, and provide administrative support to the healthcare team. The ideal candidate will have previous experience in a similar role, possess excellent communication skills, and be able to handle multiple tasks efficiently. The role of an intake specialist is to schedule client appointments, collect billing information from patients, and support scheduling as needed; intake specialists will assist in all preparation and steps taken to prepare for initial evaluation of client/ first appointment to include coordination with client, biller, and therapist.
Intake Specialist Responsibilities:
- Greet and check-in office based clients and support attendance to treatment practice wide.
- Demonstrate professional communication and collaboration with referral sources.
- Use the gathered information to guide clients to the right service, department, or office.
- Coordinate schedules and appointments and obtain client’s personal health information with attention to detail and follow-up as needed..
- Accurately entering client information into the electronic medical record system and calendar.
- Accurately entering client information on the appropriate referral list and Medicaid TX plan list
- Collect and verify patient information, including medical history and insurance details
- Complete and maintain Prior Authorizations for all insurances. Verifying Eligibility & Benefits.
- Confirm all information and documentation has been completed by the client prior to appointments and support as needed. Ensuring forms have the proper signatures and that they're filled out correctly.
- Enter copay amounts & send appropriate intake forms to the client..
- Answering and taking note of incoming inquiries via phone, fax or email.
- Following up with new and existing clients.
- Professionally communicating with referral sources, providing contact attempts/scheduling updates.
- Cross train in other areas of need and assigned other tasks as determined by the office manager.
- Keeping all information confidential per HIPAA Guidelines.
- Keep records of daily tasks and contacts and submit them to the Office Manager at the end of each shift.
- Daily review of waitlists and new referrals to support timely linkage to services.
- Maintain related spreadsheets and charts to ensure accurate agency-wide communication and reference regarding new referrals and clients in need of services.
- Provide administrative support to the healthcare team
- Work as a team to flex hours as needed in order to maintain full reception coverage during all operating hours.
Intake Specialist Qualifications:
- CMA preferred.
- Customer Service, Office Skills, & Professionalism.
- Previous experience in a patient service or administrative role preferred
- Familiarity with phone systems and handling multiple lines
- Knowledge of medical records management and confidentiality protocols
- Understanding of medical terminology and procedures, particularly in mental health office setting
- Computer Skills; ability to operate electronic medical record systems (EMR.)
- Experience in Google applications including: Drive, Docs, and Sheets preferred.
- Medical terminology knowledge and previous Medical Office experience preferred.
- Knowledge of Behavioral & Mental Health Services and experience in making contact notes preferred.
- Ability to maintain confidentiality of all medical, financial, and legal information.
- Ability to complete work assignments accurately and in a timely manner.
- Ability to communicate effectively, both orally and in writing.
- Ability to handle situations involving patients, physicians, or others in a professional manner.
Intake Specialist Work Hours, Pay Rate, & Benefits:
- This is a W2 hourly full-time position (40 hours per week.)
- The hourly wage is $20.00
- We operate on a biweekly payroll schedule
- IRA offered at 3% match.
- Health Benefits with 35% contribution
- .08 PTO earned per hour
