Position Summary:The Enrollment Operations Specialist is a full-time, salaried position responsible for managing enrollment for corporate centers and providing training and coaching support for franchise centers. This role plays a key part in growing Tierra Encantada's enrollment nationwide by driving lead management, optimizing enrollment processes, and ensuring a seamless experience for prospective families.
The primary goal of this role is to achieve enrollment targets. This is achieved by serving as the point of contact for the entire enrollment process for pre-opening centers; managing pre-tour engagement and follow-ups for open centers; developing resources and training for center leadership to support successful family conversions; and overseeing key projects for the Operations team, including new launches, communications, and ad hoc initiatives.
Key Responsibilities:Pre-Opening Enrollment & Center Support
- Lead enrollment efforts for new centers, acting as the primary point of contact until a Center Director is onboarded.
- Partner with marketing to customize pre-sale playbooks and track strategy effectiveness.
- Manage enrollment logistics, including CRM setup and automated lead messaging.
- Engage with prospective families via phone, text, and email, ensuring seamless communication.
- Conduct virtual or in-person tours and ensure a smooth handoff once a Center Director is in place.
- Provide training and guidance to franchise owners and center administrators on enrollment best practices.
Post-Opening Enrollment for Corporate Centers
- Oversee lead management from inquiry through scheduled tour.
- Ensure high engagement through pre-tour communications, personal follow-ups, and optimized messaging.
- Manage and improve the CRM system to track lead activity and refine outreach strategies.
Training & Coaching for Center Directors
- Develop and deliver training programs to help Center Directors strengthen enrollment efforts.
- Coach Directors on post-tour follow-ups to improve conversion rates.
- Conduct family outreach surveys to analyze reasons for non-enrollment and recommend process improvements.
- Help create content and/or present at monthly director training sessions and lead workshops at the annual Director Summit.
Insights & Process Optimization
- Analyze enrollment trends and family feedback to propose data-driven improvements.
- Support the development and implementation of tools for enrollment.
- Continuously refine CRM processes and ensure effective use by center teams.
Collaboration & Communication
- Maintain strong relationships with center teams, families, and franchise partners to support enrollment goals.
- Provide clear, timely communication to teams and families throughout the enrollment process.
Project Management & Operations Support

Lead and support key Operations projects, such as:
- Developing newsletters and enrollment-related communications.
- Launching new SOPs to streamline processes.
- Coordinating training initiatives for center teams.
Qualifications:
- 2 years of experience in admissions, sales, customer service, or project management.
- Strong communication and relationship-building skills with families and internal teams.
- Ability to manage multiple tasks and deadlines in a fast-paced environment.
- Experience with CRM systems and/or lead management tools.
- High level of organization, attention to detail, and follow-through.
- Self-motivated with a problem-solving mindset and ability to work independently.
This role is critical to ensuring the continued success and growth of Tierra Encantada, supporting both corporate and franchise centers in creating a seamless and effective enrollment experience for families.
Salary range is $55,000 - $60,000 depending on qualifications, education, and experience.
