Organizational Overview
The Investment Fund for Foundations (TIFF) was founded in 1991 by a foundation collaborative headed by the John D. and Catherine T. MacArthur Foundation and the Rockefeller Foundation. Team Description
The Client Services team handles all aspects of TIFF’s client service and outreach efforts across all of TIFF’s investment programs. The team plays an integral role with clients and handles all aspects of client communications and servicing. Client Services works closely with the firm’s client relationship and investment staff as well as reporting & analytics, accounting, operations, and legal teams to serve the needs of clients.
Position
The Client Services Associate Director oversees a team dedicated to providing exceptional service to institutional clients. This role is responsible for managing daily client interactions, handling escalations, and maintaining high service standards. Additionally, the Associate Director collaborates with internal teams across operations, finance, legal, compliance, and portfolio management to support the needs of existing and prospective clients.
Responsibilities (include, but not limited to)
Client Relationship Support:
- Oversee and monitor the triaging of client questions and requests via email or phone, ensuring timely and effective responses, while escalating to as appropriate.
- Manage and coordinate various aspects of client meetings, including scheduling and preparation of meeting materials, while collaborating with Client CIO Directors to ensure seamless client experience.
- Support the client on-boarding process, including planning, documentation, and monitoring the initial funding/transfers to ensure successful completion and client satisfaction.
- Support various components of TIFF’s communications efforts, such as webinars and other events, including the distribution of client-specific and broad-based communications, ensuring consistent and effective delivery.
- Proactive collaboration with Client CIO Directors to ensure client needs and objectives are met.
Operational Support:
- Supervise client service associates responsible for supporting clients' daily needs including facilitation of wires, mutual fund trades, updates to client records such as contact information and wire instructions.
- Coordinate with fund administrators on routine client reporting, such as statements, transaction confirmations, capital calls/distributions, and tax documents.
- Ensure the accurate entry and maintenance of client-specific records in Salesforce (TIFF’s CRM) and on the secure client portal, providing oversight and guidance.
- Coordinate efficient workflow of client service staff through standardization and maintenance of operational procedures. Review, create and evaluate changes to procedures as necessary.
- Review client subscription and redemption requests and AML procedures, ensuring compliance with policies and streamlined account opening process.
Qualifications
Qualifications/Skills
- Four-year college degree with strong academic track record and 5-7 years’ experience in financial services or asset management business preferred, or equivalent combination of education and experience
- High degree of proficiency with Microsoft Office, with an emphasis on the use of Excel and PowerPoint
- Ability to multi-task and work effectively in a fast-paced, deadline-oriented role where precision is required
- Positive attitude and willingness to take on new challenges
- Strong organizational skills and a keen attention to detail
- Ability to work in a dynamic, team environment
- Exceptional written and oral communication skills
- Experience with Salesforce a plus
