Primary Operational Objectives:
The Receptionist is the face and first point of contact to provide a positive experience for clients, guests, and employees. This position provides front desk customer service and administrative support to clients and employees across all departments.
Responsibilities:
- Answer phones and handle calls appropriately in a friendly and professional manner
- Filter calls to ensure they get to the correct place (i.e. take messages when salespeople and recruiters call, ensure call goes to correct person, etc.)
- Provide first level of screening for job minimums and project fit
- Enter new and existing client opportunities into CRM (Customer Relationship Management) system
- First point of contact when greeting guests, clients, vendors and employees
- Provide exemplary customer service by answering client requests in a timely manner
- Responsible for keeping abreast of voicemail messages
- Manage and respond timely to information email and Timberline website inquiries
- Process all incoming / outgoing mail and distribute to appropriate personnel
- Sign for and distribute FedEx and UPS packages
- Provide support for mailings and overnight/Fed-Ex, UPS; collect, sort, and distribute incoming correspondence and mail in a timely manner
- Assist in company event planning and execution
- Prepare, reconcile, and submit expense reports
- Keep reception area and conference rooms in neat and orderly appearance
- Remain abreast of the conference room calendar and ensure refreshments are provided for guests.Post the schedule daily
- Keep the kitchens tidy by emptying and running dishwashers daily
- Create daily check register to distribute to accounting
- Facilitate general office tidiness; including emptying paper shredder, stocked copier paper, sufficient inks and toners, and other general office upkeep and inventory
- Assist departments, such as Accounting and Human Resources, with scanning and storing documents
- Demonstrate a consistent positive attitude, eagerly accepts other duties as assigned, and seeks other duties when idle
Physical Demands & Work Environment:
- Must be able to lift up to 50 pounds
- Must be able to walk around office and upstairs
- Sitting at a desk for long periods of time
- Ability to multi-task with answering phones, assisting people who walk in from clients to employees, and delivering mail and packages around the office
- Excellent telephone etiquette
- High School Diploma or equivalent
- Minimum 2 years’ experience administrative or personal assistant experience required
- Some landscape or gardening knowledge a plus
- Professional & polished appearance and demeanor
- Strong PC skills; proficient in Microsoft Office, Excel, Word, PowerPoint
- Ability to work in a fast-paced environment
- Ability to work with internal and external customers
- Demonstrates strong sense of urgency, pride and ownership for individual growth and team success
- Strong verbal and written communication skills
- Ability to deal with sensitive and confidential material
