Our operations are rapidly expanding to include innovative technologies and automation in the Oil industry. The original company began in 2008 and initially manufactured original equipment for various industries. Beginning in 2016, our business changed its paradigm to focus on providing services in the Oil & Gas Industry.

An Accounting Assistant working with Accounts Receivables is an excellent multitasker with exceptional communication and time management skills. Accounting Assistants can assist the accounting department with data entry, processing, and recording transactions, updating the ledger, assisting with audits or fact-checking, and preparing budgets and reports with excellent Accounts Receivables experience. You should be thorough, accurate, and honest with good bookkeeping skills.

To be a successful Accounting Assistant, you should have an understanding of basic accounting principles and proficiency with computers and software, such as MS Excel and Accounts Receivables for this position. You should be trustworthy, efficient, and organized.

Supervisory Responsibilities :

  • None.

Duties / Responsibilities :

  • Providing support to the Accounting Department.
  • Accounts Receivables-
  • Invoicing from Sales Orders
  • Open Invoice submissions
  • Bill paying from Purchase orders
  • Journal entries as needed
  • AR aging reports
  • Assist with Month-end bank reconciliations
  • Monitor weekly to prepare for each month’s close.
  • Assist with Month-end close processes.
  • Performing basic office tasks, such as filing, data entry, answering phones, processing email and mail, etc.
  • Handling communications with clients and vendors via phone, email, and in person.
  • Processing transactions, updating ledgers, budgets, etc.
  • Preparing financial reports.
  • Assisting with audits, fact checks, and resolving discrepancies.
  • Other related duties as assigned.
  • Required Skills / Abilities :

  • Must be reliable and extremely trustworthy.
  • Must be proficient in Microsoft Office Suite or related programs.
  • Must be able to learn other accounting software systems.
  • Excellent organizational skills and attention to detail.
  • Ability to maintain confidential and meticulous records.
  • Data Entry : Basic data entry tasks for accounting assistants include logging transactions, recording and reviewing journal entries, and crafting spreadsheets.
  • Clerical Duties : Accounting assistants may run errands around the office, handle incoming email and mail, scan, and photocopy documents, and prepare quarterly reports. They also help with year-end audits and bank reconciliations.
  • Customer Service : Accounting assistants often need to communicate with vendors and customers about invoices and payments and employees. This could be by email or phone.
  • Expense Reporting : Accounting assistants may be responsible for data entry of expenses, verification of reports for accuracy, and expense budget tracking and reporting.
  • Financial Reports : Accounting assistants help accounting managers create and update financial reports. They work on balance sheets, statements of income, statements of retained earnings, and cash flow statements.
  • Administrative Duties : may include work requests from and for other departments (Accounting, HR, Finance, IT, Executives, Operations, etc.) as needed.
  • Qualification Requirements

    Education and Experience :

  • Minimum education required High School Diploma or GED.
  • Associate degree or bachelor’s degree, preferably in accounting or finance is a plus.
  • 1-3 years of Accounting and accounts receivable experience.
  • Prefer candidates with any prior office / administrative experience or prior internships in Accounting.
  • Proficiency with computers, Microsoft Office Suite, Office 365, and bookkeeping software, strong typing skills.
  • Exceptional time management and verbal and written communication skills.
  • Familiarity with basic accounting principles.
  • Ability to maintain a high level of confidentiality.
  • Professional manner and a strong ethical code.
  • Ability to multitask and remain motivated and positive.
  • Commitment to working efficiently and accurately.
  • Physical Requirements :
  • Periods of sitting at a desk and working on a computer.
  • Must be able to lift 15 pounds at times.
