The DOT Fleet Manager oversees all commercial vehicle assets, rentals, and related assets, including their operations, conditions, external and internal policy compliance, DOT employees, and overall performance.
You will ensure that vehicles, related assets, and equipment are being utilized to their fullest potential in a safe and cost-effective manner. The DOT Fleet Manager has full responsibility for creating, implementing, and maintaining companywide driver compliance and fleet safety. You will also maintain all federal, state, local and FMCSA regulatory compliance filings for the Fleet. Process and maintain all drivers’ records and compliance with federal and state regulations. Ensure that all drivers are well informed and aware of changes and updates in regulations/requirements as directed by corresponding agencies (such as FMCSA, DOT, PHMSA, OSHA) and work with the HSE Manager. You should demonstrate sound judgment and adherence to compliance regulations; possess strong skills in administrative policy and procedure development and demonstrate strong relationship building and problem-solving skills. To perform this job successfully, an individual must be able to perform each essential duty satisfactorily. Supervisory Responsibilities
- Interviews, Hires, and Trains New Staff in The Department.
- Oversees the Daily Workflow of The Department.
- Conducts performance evaluations that are timely and constructive.
- Handles discipline and termination of employees following company policy.
- Oversees the end-to-end lifecycle of each company-owned commercial vehicles, rentals, and related assets.
- Researching the best vehicle types and building a fleet based on a company’s operations and budget, then supervising their procurement.
- Determines whether to rent, sell, reassign, or retire a vehicle that is no longer capable of serving its intended purpose.
- Efficient asset utilization planning.
- Vehicle inspection and maintenance.
- Real-time vehicle location tracking.
- Vehicle performance monitoring, record keeping, and improvement.
- Issues and bottlenecks detected in fleet operations.
- Fleet’s performance and expenses.
- Budgets and major fleet purchases.
- Costs of fleet operations.
- Plans and sets fleet-level targets.
- Procure vehicles, whether through lease, purchase, or other means, according to company requirements.
- Register, obtain licenses, and insure the company’s vehicles.
- Secure vehicles and relevant assets.
- Partner with reputable repair and maintenance shops or in house mechanics.
- Oversee and schedule vehicle inspection, maintenance, and servicing to minimize downtime.
- Maintain all vehicle information and inspection records.
- Reduce unnecessary expenses and increase fuel efficiency.
- Secure the fleet’s compliance with applicable regulations.
- Analyze fleet performance data and improve accordingly.
- Report fleet performance and finances to upper management.
- Maintain and update all Driver Qualification Files (includes insurance certificates, physicals, valid driver’s license, vehicle registration, etc.).
- Provide training/seminars to all drivers, as applicable, under corresponding state and federal regulations.
- Prepare and maintain records of all drug and alcohol tests (including random drug and alcohol screening), as required.
- Responsible for all Federal, State and Local operational regulatory filings. Prepare and maintain detailed spreadsheet referencing the permit or certificate’s title, purpose, cost, effective/expiration date, etc.
- Work with the HSE Manager to maintain and update a Safety Program that also includes the benchmarks for compliance both with company programs and DOT requirements.
- Research Industry Best Practices and stay abreast of changes or developments in the industry that increases safety and adds value to drivers, to include identifying systems, technology, etc.
- Preparing a written Fleet Management program detailing how the feet is managed, lay out expectations, incentives, benefits, etc.
- Work with the HSE Manager and HR Director to establish Written Hiring Guidelines that would assist in the identification of qualifications, testing, background, DMV, etc.
- Establishes onboarding process and safety training sessions for all drivers and is the process owner for all driver related safety training.
- Maintains Tax and Registration Filings including IFTA, UCR, etc.
- Provides support with analysis of HOS, Safety and Maintenance compliance with applicable law and company policy.
- Identifies regulatory compliance risks/concerns and make recommendations or take corrective actions to implement solutions to improve controls.
- Performs other job-related duties as assigned.

- Minimum four (4) years supervisory experience plus
- Minimum four (4) years of work experience in DOT, Fleet management, and/or asset management.
- Knowledge of methods, techniques, and procedures involved in driver compliance.
- DOT, Hazmat experience.
- Valid Driver’s License.
- Knowledge of DOT/FMCSA processes (DataQ, UCR regulations etc.)
- Proficient PC skills (Word and Excel).
- Ability to communicate in English at an intermediate-advanced level (orally and in writing)
- Ability to read and write alpha and numeric in English. Legible handwriting.
- Interpersonal skills, customer service.
- Organized individual: ability to prioritize.
- Ability to function and perform effectively as a Manager and Supervisor.
