Summary
Toad Hill Montessori, Inc. (THM, Inc.) is seeking a Part-Time Administrative Assistant to support all types of campus operations and will serve as the point-of-contact at our Blooming Grove Montessori (BGM) location. This position reports to upper administration and the THM, Inc. Head of School. This position supports BGM in maintaining routine functions of the academic day and school year. The Administrative Assistant is responsible for confidential and time sensitive material pertaining to staff, parents and students, and is expected to exercise excellent judgement, tact and discretion. This position requires the ability to effectively and professionally communicate via phone, email and in-person ensuring that all Administrative Assistant duties are completed accurately and delivered with high quality and in a timely manner. The ideal candidate will be highly organized, show great attention to detail, have an ability to multitask and appropriately prioritize and meet changing deadlines. The selected candidate will have substantial experience working in an office environment, and a record of success in performing administrative tasks and providing quality and reliable support to coworkers.
This position will assist the Blooming Grove Montessori campus Monday-Friday. The schedule will be a minimum of 15 hrs per week, 7 : 45am-10 : 45am to a maximum of 25 hrs per week, 7 : 45am-12 : 45pm. Occasional assistance within those hours may be needed at our two THM, Inc. partner locations located within 5 minutes driving time of BGM (Toad Hill Children's House and / or Toad Hill Toddler House). Schedule may shift due to programming needs.
Duties
The duties and responsibilities of the Administrative Assistant include, but are not limited to the following :
- Answering phones and checking phone messages
- Assisting with student attendance records
- Supporting state compliance requirements
- Daily office upkeep, including file maintenance
- Checking postal mail and school-specific email
- Finding substitutes and assisting with scheduling (including occasional classroom assistance if a substitute is not available)
- Supply ordering
- Organizing meetings and taking detailed notes
- Facilitating enrollment, including event preparation and event attendance, as needed
- Tuition and invoice processing
- Payroll and PTO processing
- Staff and parent communications
