Your Role
The Operations Assistant plays a key role in ensuring the smooth day-to-day operations of Tobin Scientific by ensuring smooth daily operations by acting as a central point of contact and support for both clients and drivers. This position involves supporting the Field Operations team to help with logistics, scheduling, customer service, and overall operational efficiency. The ideal candidate is detail-oriented, organized, and thrives in a fast-paced environment. This position demands exceptional organizational and communication skills, proactive problem solving, as it encompasses tasks from scheduling client appointments to and independently resolving minor issues that may arise for both drivers and clients, thereby contributing to overall operational efficiency and client relationships.
Key Responsibilities:
- Customer Service Support:
- Communicate with customers to confirm moving details, schedules, and specific needs.
- Address customer inquiries, resolve complaints, and ensure customer satisfaction.
- Maintain professional relationships with customers and provide regular updates on moving status.
- Scheduling & Coordination:
- Scheduling moving jobs, ensuring proper allocation of resources (crews, vehicles, equipment).
- Communicating with the Sales Department to ascertain all necessary job information.
- Ensure timely and accurate deliveries by managing the logistics of the moving process.
- Documentation & Record Keeping:
- Maintain accurate records of each move, including client information, job orders, and purchase orders.
- Prepare and process paperwork associated with moves (Bill of Ladings, damage reports, etc.).
- Operational Support:
- Assist in managing the day-to-day activities of the Field Operations team, ensuring work is being carried out efficiently and safely.
- Troubleshoot any operational issues that arise and communicate with relevant departments for resolutions.
- Support continuous improvement initiatives.
- Administrative support – including but not limited to uniform and equipment procurement, time card organization, etc.
- Team Collaboration:
- Provide support for the Field Operations Director, Dispatcher, movers, and drivers as needed.
- Ensure that teams are informed of any changes in schedules, locations, or customer needs.
Qualifications:
- Bachelor’s degree preferred, or equivalent experience; additional certifications or coursework in logistics, business administration, or a related field is a plus.
- Previous experience in logistics, customer service, or moving industry preferred.
- Strong organizational and multitasking abilities.
- Excellent communication and interpersonal skills.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook).
- Ability to work independently and as part of a team.
- Detail-oriented with strong problem-solving skills.
