We are seeking a highly organized and proactive Irrigation and Office Administrator to join our team. This role is essential in ensuring the smooth operation of our irrigation service department and overall office environment, providing administrative support, and enhancing the overall efficiency of our daily operations. The ideal candidate will possess strong communication skills.
Administrative Assistant Responsibilities:
- Answer and direct phone calls
- Organize and schedule appointments and meetings for the irrigation service and sales departments
- Produce and distribute correspondence memos, letters, faxes, and forms
- Assist in the preparation of regularly scheduled reports
- Maintain a filing system
- Light Accounting
- Provide general support to visitors
- Provide information by answering questions and requests
- Handle multiple projects
- Prepare and monitor invoices
- Maintain supplies inventory by checking stock to determine inventory level; anticipating needed supplies; placing orders for supplies
- Carry out administrative duties such as filing, typing, copying, binding, scanning, etc.
- Write letters and emails on behalf of other office staff
- Book conference calls, rooms, couriers, hotels, etc.
- Handle sensitive information in a confidential manner
- Coordinate office procedures
- Reply to email, telephone, or face-to-face inquiries
- Resolve administrative problems
- Receive, sort, and distribute the mail
- Greet and assist visitors to the office
- Photocopy and print out documents on behalf of other colleagues
- Provide polite and professional communication
Administrative Assistant Qualifications:
- Irrigation service scheduling, routing and dispatching
- Proven admin or assistant experience or equal skill set
- Excellent time management skills
- Ability to multitask effectively
- Detail oriented person required for this position
- Problem-solving skills
- Knowledge of Quickbooks
- Excellent written and verbal communication skills
- Strong organizational and planning skills
- Proficient in Google Docs and Microsoft Office
Job Type: Full-time
Pay: $16.00 - $22.00 per hour
