We are seeking a dynamic and detailed HR Coordinator to join our team. The HR Coordinator aids and supports the functional areas of the HR department. This role will work directly and assist the HR and Benefits team to fulfill a variety of necessary tasks; this includes but not limited to providing excellent customer service while promoting and maintaining Tom James Company’s mission, values and culture
\n- NEW HIRE ONBOARDING
- Implements and reviews background checks for potential new hires (Office Support, Home Office employees)
- Provides new hires with necessary onboarding documents; ensures documents are sufficiently completed (Office Support, Home Office, Sales Professionals)
- Processes new hire documents, sharing pertinent details with Payroll, Tax and other departments
- Enters all new hires into the H/R secured site
- Initiates Federal Employment Eligibility Form I-9 Process with new hires; confirms forms are accurately completed and submitted on time; reviews I-9 documents;
- Ensures onboarding documents and I-9s are complete for all Tom James new employees.
- TERMINATIONS
- Processes terminated Tom James employees: obtains necessary forms, sends Sales Professional pre-term and term memos, terminates employee from H/R secured site
- Keeps abreast of final paycheck laws by state; ensures Payroll processes final paychecks within state guidelines
- RECRUITING
- Assists with reviewing resumes and recommending candidates to leaders on an as needed basis
- Conducts phone screens and schedules interviews
- PERSONNEL FILES/INFO
- Maintains employee personnel files; ensures record retention periods comply with current legislation.
- Updates H/R secured site to reflect changes in employee’s schedule, pay, etc.
- OTHER
- Assists with special office events – (Retirement Luncheons holiday parties, summer picnic, and other events)
- Performs other related duties/projects as assigned
- Bachelor's Degree in a related filed preferred; or an equivalent combination of education and experience.
- HR and/or Benefit's experience a plus
- HR Certification preferred
- Excellent general computer skills with strong Excel experience and the ability to quickly learn new software.
- Strong verbal and written communication skills.
- Excellent time management skills with a proven ability to meet deadlines
- Ability to confidentially handle confidential and sensitive information and employee’s personal health information.
- Ability to work as a team and remain flexible
- Regular on-site attendance required
