Position Overview: Tongue River Valley Walk-in Clinic is seeking a dedicated and organized individual to join our team as an Office Manager/Medical Assistant. This hybrid role is critical in ensuring efficient clinic operations, providing administrative support, and assisting the medical provider in delivering exceptional patient care. The ideal candidate will possess strong time management skills, proficiency in office management, and experience with medical assisting duties. This position requires flexibility to adapt to varying work schedules based on patient volume and clinic needs.
Key Responsibilities:
- Office Management:
- Oversee daily office operations, ensuring a smooth workflow and efficient service delivery.
- Manage patient appointment scheduling, record keeping, billing, and insurance verification.
- Handle inventory management and ordering of office supplies.
- Maintain clinic policies, procedures, and confidentiality standards (HIPAA compliance).
- Supervise and train junior staff or interns as needed, promoting a supportive work environment.
- Resolve patient inquiries, complaints, and concerns with professionalism and efficiency.
- Perform data entry tasks accurately, maintaining up-to-date patient records.
- Medical Assistance:
- Assist the medical provider during patient examinations and procedures.
- Prepare and administer medications as directed by the provider.
- Conduct basic diagnostic tests and record patient vital signs.
- Maintain accurate and confidential patient records, adhering to HIPAA regulations.
- Ensure proper sterilization, maintenance, and safety of medical equipment.
- Provide first aid and assist in emergency situations as required.
- Front Desk and Customer Support:
- Greet patients and manage the check-in/check-out processes.
- Answer phone calls, schedule appointments, and address patient inquiries.
- Process patient payments, insurance details, and billing inquiries.
- Proofread and ensure patient forms and documentation are accurate and filed correctly.
- Provide exceptional customer support, addressing patient needs with professionalism and care.
- Clinic Maintenance and Safety:
- Maintain a clean and organized clinic environment to meet health and safety standards.
- Oversee routine cleaning and ensure compliance with safety protocols.
- Manage waste disposal and ensure proper handling of medical materials.
- Follow OSHA standards to minimize exposure to bloodborne pathogens and infectious materials, using personal protective equipment (PPE) as required.
- Other Duties:
- Assist with additional tasks to support clinic operations, including filing, document management, and supporting staff.
- Ensure a productive and supportive environment for both patients and clinic staff.
Qualifications:
- High school diploma or equivalent required; additional certification in medical assisting, office management, or related fields is preferred.
- Previous experience in a medical office, healthcare setting, or administrative role is advantageous.
- Certification in medical assisting is a plus.
- Familiarity with medical terminology and medical office systems is preferred.
- Strong organizational and multitasking abilities.
- Proficiency with office management software, medical record systems, and data entry tools.
- Excellent verbal and written communication skills.
Physical Requirements:

Work Hours:
