What are the responsibilities and job description for the Adminstrative Assistant position at Top Notch Plumbing?
We are looking for an experienced Administrative Assistant to perform a variety of administrative, accounting, bookkeeping, human resources, auditing and payroll tasks. Duties include providing support to our executive team and assisting with daily office needs and assisting with our company’s general administrative activities. You will work closely with our owner who runs two companies at our location.
We are a very busy award-winning, highly rated Plumbing and HVAC Company based out of Lake Elsinore, CA, servicing all Riverside County, San Bernardino County, Orange County, and some of Los Angeles County. We are a reputable, honest, and hardworking company that takes pride in delivering great service.
· High School diploma required (Associate’s Degree preferred); however a combination of education, experience and training will be considered.
· Minimum of two years working in an office environment with administrative assistant responsibilities.
· Outstanding communication (oral and written)
· Proficient and accurate with data entry
· Proficient in Microsoft Office, Excel, and QuickBooks for report creation and spreadsheet updates.
· Previous cash handling experience
· Must be able to read, write, speak and understand the English language, and be able to communicate via email fluently
· Able to manage critical deadlines and keen attention to detail
· Able to maintain calm and professionalism in stressful situations, and deal tactfully with personnel, customers, visitors and the public to achieve positive outcomes for customers and company goals
· Goal oriented and highly ethical
· Excellent organization skills and able to manage multiple projects simultaneously
· Teamwork a must.
· Working knowledge of office machines (computers, printers, fax machine, etc.)
· Tech savvy and able to navigate the internet

· High volume of invoice processing
· Data Entry
· Assist AP/AR Dept. with various tasks
· Become knowledgeable of the companies’ programs, technology, practices and policies
· Update and maintain customers in database
· Always demonstrate a high level of customer service to all current and prospective customers
· Establish and maintain a productive working relationship with staff, vendors and contracted agencies
· Maintain communications with current, former and prospective customers via phone, email, internet or email and text messages as required
· Copying, sorting and filing duties
· Able to work independently or collaboratively in a team environment
· Perform other duties as required and assists management with various tasks

· M-F (40 hrs.) day shift w/some overtime

Pay: $23.00 - $27.00 per hour
