What are the responsibilities and job description for the Dental Office Admin / Front Desk (all levels welcome) position at Topsfield Smiles?
We’re looking for a reliable Front Desk Administrator to join our team! This would be a part-time position at our office that’s open Mon-Thurs. Our ideal candidate has exceptional customer service skills, experience in dental administration, and a positive personality.
Our private practice has served the community for 30 years and treated generations of family members. We stress preventative treatment with thorough examinations to determine our patients’ complete dental needs. Duties and responsibilities should include, but not be limited to:
- Schedule patient appointments and make reminder phone calls as needed.
- Advise patients of practice policies and patient care procedures.
- Calculate fees, coordinate financial agreements, and process payments.
- Present treatment plans to patients to discuss options to help them understand better.
- Submit insurance claims and consistently follow up with dental insurance companies as needed.
- Collaborate with our outsourced insurance specialist to follow through on claims and appeals.
- Monitor and manage accounts receivable to ensure timely collections and maintain low outstanding balances.
- Update charts and patient records with x-rays, treatment plans, and insurance information.
- Share administrative duties such as filing, mailing, organizing, and patient file creation as needed.
- Follow privacy and security regulations to ensure records are stored securely
- Maintain facilities and equipment in accordance with hygiene and safety regulations including OSHA.

Ideal candidates' resume would have (preferred):
- Basic insurance billing experience - we have an outsourced specialist who manages claims
- Dentrix experience
