About the position:
TJFACT is seeking to hire an Administrative Support Specialist to support our United States Department of State (DOS) Diplomatic Technology (DT – formerly IRM) client in Washington, DC.
The Administrative Support Specialist will provide a wide range and scalable administrative support services to support DT. This individual will directly support the DT/EI/RDTC team.
Note – this role is a 6-month temporary position.
DUTIES AND RESPONSIBILITIES:
- Schedule meetings and escort visitors to our buildings.
- Assist visitors and new/departing staff with administrative tasks
- Track traveler Visa process and update our MFT tracking system
- Manage RDT Calendar including events coordination, office activities/meetings.
- Take notes for meetings and calls
- Answer routine correspondence and calls, pointing customers to open ticket or POC
- Perform routine data entry, reformatting
- Prepare Time and Attendance reports
- Order supplies for RDT Front Office including paper and printer cartridges
- Use Department online tracking systems like ILMS
- Perform basic bookkeeping for allocated budget and ordering routine items
- Track and keep GOV maintenance and travel logs
- Backup the program assistant for processes around travel including E2 system.
- Updating spreadsheets and other data entry tasks; Creating email templates
- Assist in looking at RDT procedures and identifying means to streamline
- Perform other administrative duties as assigned.
REQUIRED QUALIFICATIONS:
- Years of experience and Educational Requirements
- 4 to 7 years of directly related technical experience.
- High School Diploma
- Proven knowledge of office administrative support
- Highly organized, detail-oriented, and capable of managing sensitive information with confidentiality and integrity.
- Demonstrated experience in taking notes, scheduling meetings, and appointments, and provide assistance to visitors.
- Proficiency in the entire Microsoft (MS) Office Suite, including but not limited to Word, Excel, PowerPoint, Visio, Outlook, and Project
- Demonstrated experience in problem solving and attention to detail.
- Strong organizational and planning skills
- Excellent time management skills and ability to multi-task and prioritize work.
- Functional knowledge in business processes, office management, computer applications, and customer services
- Excellent written and verbal communication skills
- Active Security Clearance
