Touchmark on West Prospect is Appleton's leading full-service senior living community, enriching the lives of residents and their families through five-star hospitality, services, and amenities. We are currently seeking the right individual to join our team as the Business Office Manager.
Annual Salary: $70,150 - $80,120 based on experience and certifications
Monday - Friday daytime schedule.
Must be willing to rotate weekends and holidays as part of a Manager on Duty scheduled rotation (6-8 weekends and 1 holiday per year)
As the Business Office Manager, you will collaborate with the leadership team at our community and the accounting team at Touchmark’s Central Office to manage business office operations. Your primary responsibilities will include overseeing accounting functions such as accounts receivable, accounts payable, financial reporting, payroll, and budgeting.
Ideal Candidate Qualifications:
Education & Experience: An associate’s degree in business administration, accounting, human resources, or a related field is required; a bachelor’s degree is preferred. A combination of education and directly related experience will also be considered.
Technical Skills: Proficiency in MS Office, with recent experience using Excel for calculations.
Payroll Expertise: At least two years of experience processing payroll (preferably web-based) for a minimum of 50 employees.
Accounting Knowledge: Familiarity with basic accounting practices, including payroll, accounts payable and receivable, and private insurance billing.
Budget Management: Experience managing budgets across multiple departments.
Professionalism & Confidentiality: Ability to handle sensitive information with discretion and maintain a high level of professionalism.
Software Experience: Prior experience using computerized accounting software; familiarity with RealPage property management software is a plus.

Business Office Manager Responsibilities:
Collaborate with the leadership team at the community and the accounting team at Touchmark’s central office.
Oversee all business office operations and primary accounting functions.
Manage front desk operations and supervise team members.
Process semi-monthly payroll.
Oversee financial reporting and budgeting for the community.
Maintain accurate resident accounts, ensuring billing statements are processed and distributed by the 27th of each month, and follow up on past-due balances mid-month.
Prepare and distribute budget information to department managers, create monthly checkbooks, and schedule budget review meetings.
Monitor and manage accounts receivable, accounts payable, payroll records, accounting records, and budgets.
Ensure proper month-end closing and submit financial information to the central office within designated timeframes.
Assist the Executive Director in evaluating and analyzing financial statements.
Act as Manager on Duty (senior manager on site) when the Executive Director is away
