Overview:
As an Admissions Intake Coordinator, you’ll be the first point of contact for prospective students who are interested in following their dream of an education. In this position you'll be wearing multiple hats—receptionist, scheduler, front desk associate, telemarketer—all of which revolve around speaking to prospective students over the phone and gently but persuasively encouraging them to schedule appointments to with an admissions counselor, in order to take the next step in the admissions process. Our students come from all walks of life and often have full-time jobs and families to take care of. As the first point of contact between them and NYSCAS, it will be your job to make a warm, inviting impression while providing that extra push to take the next step when needed. A clear speaking voice, good energy, and strong organizational skills are essential. Each day, you'll be responsible for answering a high volume of inbound phone calls, which originate from our ads and other digital marketing sources. You'll also be emailing and texting with prospective students on an as-needed basis. All communications will be recorded and selectively reviewed as a team on a weekly basis to ensure that we are serving our prospective students as best we can. Before receiving an interview, you'll be asked to provide an audio or video file, about 30 seconds in length, in which you introduce yourself and share why you’re a good fit for this position. Responsibilities:
Responsibilities include but are not limited to:
- Answer inbound calls promptly and professionally, using supplied script and guidelines
- Follow-up with any missed calls that occurred outside business hours
- Engage with prospective clients to gather basic information and address initial inquiries
- Schedule appointments with admissions counselors efficiently and accurately
- Maintain an organized system for tracking leads and follow-ups
- Collaborate with the admissions team to ensure smooth appointment transitions
- Be persuasive when scheduling appointments
- Know how to effectively field questions that cannot be answered on the spot
- Become knowledgeable about the college; express why NYSCAS would be a good fit
- Make detailed notes about each call and lead status using CRM
- Send follow-up emails using CRM
- Attend weekly meetings to review progress and performance
- Maintain an open line of communication with the admissions staff
Education/ Experience
- Some college is strongly preferred but not required
Knowledge/ Skills/ Abilities
- Clear speaking voice
- Proficiency in basic computer systems and scheduling software is a must
- Prior experience in customer service, telemarketing, or reception is preferred.
