Cary’s Parks, Recreation, and Cultural Resources department is seeking an energetic and service-oriented individual to join our team at Cary Senior Center as a Program Assistant II. 

This position will play a big role in handling the administrative functions related to assisting with the planning of Cary’s Senior Trips Program. Cary Senior Center serves a very diverse clientele. Not only do we serve all ages and abilities, but also many different cultures, ethnicities, and nationalities. We seek applicants who are comfortable with, sensitive to, and interested in working with patrons 55 from all walks of life.

The Program Assistant II for Senior Trips carries out the administrative functions of the Senior Trips program, creating and maintaining a database of trip participants, their records and trip status. ordering supplies, marketing trips, and organizing the program in a way that will assist support personnel to enable their participants to have safe, rewarding, and enjoyable experiences.

Work will require a flexible schedule with daytime availability but will include some evenings and weekends as needed to provide oversight of the occasional evening trips. 

This is a part-time, non-benefited, year-round position, up to 20 hours a week, with a maximum of 999 hours per year.

  • Serves as the admin for the senior trips program
  • Receives emails and calls on Cary-supplied equipment; when possible, addresses and responds to citizen inquiries, complaints, requests for services
  • Monitors participant status and notifies patrons of trip cancelations, changes, or updates
  • Creates and Maintains Outlook participant database containing personal/confidential information
  • Creates and Maintains calendar entries to include trip times, destinations, bus reservations, etc., and shares with Trips Team
  • Shops for or Orders supplies needed on trips including water, snacks, name badges, etc
  • Makes and confirms reservations for restaurants, buses, tours, tickets, etc
  • Updates Seniors on the Go website administered by Cary including adding updated photos, altering trip information, and updating the overall look of the webpage to meet Cary standards and to be relevant. 
  • Inputs and updates trip info in RecTrac seasonally and as needed; training provided
  • Enforces Town of Cary policies and procedures
  • Operates Cary-supplied laptop; computer work may be extensive
  • Maintains office documents/spreadsheets in Cary’s Box System and on Teams
  • Troubleshoots problems and issues related to unexpected cancelations, trip waitlists questions, and time changes, this would include handling participant concerns or complaints and helping with solutions.
  • Accompanies large group trips, as needed 
  • Assists in the orientation and training of new temporary staff and serves as an example to employees on The Cary Way
  • Enters computer data, processes customer inquiries, handles general office duties, obtains and dispenses accurate information concerning departmental programs.
  • Proficiency in Microsoft Applications (Word, Excel, PowerPoint, etc.)
  • Strong organizational skills with an acute attention to detail.
  • Excellent communication and interpersonal abilities to work effectively with team members, vendors, and the public.
  • General knowledge of standard office practices and procedures
  • Ability to provide excellent customer service through email, phone communication, and strategic management of complaints and concerns from upset or confused patrons.
  • Ability to establish strong working knowledge of systems to efficiently guide individuals through the registration process,
  • Ability to acquire knowledge of policies, procedures and services of the division and department.

Education and Experience 

Requires a combination of education and experience equivalent to an associate degree. 

Requires a CPR/First Aid Certification (or the ability to obtain one within 6 months with supplied training)

Preference will be given to candidates who possess any of the following:

  • Some experience with responsible administrative work. 
  • Some experience with marketing and maintaining a company website.
  • Some experience with Microsoft programs (Teams, Outlook, Word, Excel, etc.)

Physical Requirements

Work in this class requires an employee to be able to hear and talk in order to communicate with the public and with groups under instruction.  An employee must be able to climb, walk unassisted and move about freely in order to interact with patrons. Requires the ability to lift moderately heavy items (up to 25 lbs.) Visual acuity is needed to read typewritten and handwritten materials and to view a computer terminal. Employee must be able to drive and park in different locations a 14-passenger, auto-transmission bus. Work in this class is primarily clerical and may require sitting and use of a computer for extended time periods. 

Conditions of Employment

Requires possession of a valid driver's license with an acceptable driving record.

Requires drug testing and background check (which may include criminal check, education verification and credit history review) prior to employment.

Salary : $16 - $21
