JOB SUMMARY
The Administrative Clerk is responsible for providing routine receptionist, clerical and administrative services for the Building Department.
ESSENTIAL FUNCTIONS
- Performs customer service functions by telephone, computer, and in person; provides information and assistance related to division services, activities, procedures, fees, forms, or other issues; assists the public in completing applications and other forms as needed; responds to questions/complaints
- Processes inspections from contractors, and the general public; provides information regarding required inspections; enters requests into scheduling program; prints related reports for scheduling and verification purposes; notifies inspectors of urgent inspections; cancels or reschedules inspections as needed
- Processes trade permit applications for all construction work requiring permits, reviews applications for accuracy/completeness; verifies proper Town business license, and state contractor’s license; accepts construction plans and plan documents associated with permit processing; enters information into database
- Provides other clerical support as needed; files, scans, and copies documents; distributes departmental mail; takes meeting minutes, etc.
JOB CONTEXT
The Part-time Administrative Assistant will perform tasks that require the ability to exert light physical effort in sedentary to light work, but which may involve some lifting, carrying, pushing and/or pulling of objects and materials of light weight (5-10 pounds). Essential functions are regularly performed without exposure to adverse environmental conditions. Normal hours per week average 20-25, generally between 9am – 2pm.
WORK PERFORMANCE
The Part-time Administrative Assistant is required to follow departmental expectations and adhere to all rules, regulations, policies, and procedures in the Town of Christiansburg Employee Handbook.
JOB REQUIREMENTS
- High School diploma or GED
- Minimum of two (2) years of experience in clerical/administrative work
- Must have reliable transportation to and from work
KNOWLEDGE, SKILLS AND ABILITIES
- General knowledge of office practices and procedures
- Working knowledge of current office software, such as Microsoft Office, for word processing, email and spreadsheets
- Basic understanding of building code and zoning principles
- Effective verbal and written communication skills
- Effective customer service skills with the ability to deal with a wide range of customers
- Well-developed interpersonal skills with the ability to maintain professional and courteous relationships with internal and external customers, vendors, and staff
- Strong computer skills with the ability to learn new programs and software
- Attention to detail
- Ability to treat confidential information with appropriate discretion
