POSITION: CLERK
DEPARTMENT: TOWN CLERK’S OFFICE
REPORTS TO: TOWN CLERK
FSLA STATUS:
Grade/ Union/Hours: UNION/35 HOURS
This Position will be filled in accordance with the Collective Bargaining Agreement between the Town of Cumberland and the Teamster’s Union. Hours for this position are 8:30 AM until 4:30 PM. Monday – Thursday. The Clerk is responsible for specific related duties and functions that are applicable to the Town Department. The starting salary for this Union position is $19.31.
SUMMARY OF JOB PURPOSE
Perform responsible administrative, clerical, and record keeping in support of the operations of the Town Clerk’s Office.
Process and perform data entry of moderately complex documents, record, and provide information to the public and Town Departments in person, by phone, email or fax.
ESSENTIAL FUNCTIONS
Duties include but not limited to:
Explain the proper use and completion of forms and documents
Explain rules, policies, and procedures
Assist the public and Town Departments in obtaining information
Process and maintain records, and conduct data entry of certain records
Maintain records; electronic and paper files
Compile regular reports both daily and monthly
Receive, process and explain various business licenses to the public
Answer inquiries from the public or other departments regarding recorded documents related to land evidence
Provide clerical assistance to other Town Departments
Copy and record information as requested
Prepare a variety of general correspondence independently
Perform a variety of other clerical duties including, but not limited to:
o Copying and assembling materials
o Collecting and distributing mail
o Answering phones
o Faxing documents, and other related tasks
Operate a variety of office machines and equipment including but not limited to:
o Personal computers
o Typewriters
o Adding machines
o Calculators
o Printers/copiers/scanners
QUALIFICATIONS
To perform this job successfully, an individual must be able to perform each essential duty satisfactorily. The requirements listed below are representative of the knowledge, skill, and/or ability required.
Knowledge of general office procedures and telephone etiquette; ability to maintain clerical records and prepare reports from those records; demonstrate effective interpersonal relationships in bringing people together to solve problems.
Skills in prioritizing multiple tasks; establishing and maintaining effective working relations with coworkers, property owners, public, and representatives from other local, state, and Federal agencies.
Intermediate proficiency level utilizing Microsoft Office applications including Excel, Word, Outlook, as well as the ability to operate other standard office equipment.
EDUCATION and EXPERIENCE
One (1) year of clerical experience
High School Diploma
Associates Degree a plus
