General Description:
Under general direction of both the Building Commissioner and Director of Planning, the clerk is responsible for the efficient and timely operations of the office and supports the work of both the Building and Planning Departments. This position will share time between both departments to ensure crossover knowledge of each department.
Primary Essential Functions:
- Provides customer service (in person, phone, e-mail).
- Provides office support (ordering office supplies, filing, preparation of mail-outs, managing voicemail).
- Reviews applications for completion before sending to the inspectors.
- Ensures paper applications are entered into the online permitting portal.
- Schedules inspections on the Google Calendar.
- Schedules monthly inspections for businesses.
- Provides initial preparation of draft minutes from recorded meetings for the Planning Board, Zoning Board of Appeals, and Conservation Commission.
- Receives plans and distributes to the appropriate department (s).
- Posts meetings and hearings with the Clerk’s Office.
- Acts as backup for both departments payroll entry.
- Performs similar or related work as required.
Education and Experience:
High School diploma or equivalent, with secretarial and business courses strongly preferred, and from one to up to three years of experience in a responsible administrative position, preferably in a municipal setting, or any equivalent combination of education and experience. Possess basic knowledge of Microsoft Office and Google Suite applications.
