JOB CLASSIFICATION SUMMARY

Positions assigned to this class are responsible for the administration and successful delivery of various Fleet projects and programs. Incumbents will schedule and coordinate vehicle needs and movement between the Fleet Shop, Town Departments, outside vendors including vehicle upfitting vendors and warranty work; coordinate fleet software implementation or upgrades and monitoring / resolving software issues and challenges; coordinate accident reports with the Town's Risk Management indidual(s) and resolve insurance claims; coordinate motor pool vehicle usage and maintenance; complete monthly mechanic accountability reports; and prepare agendas and other reports for Fleet division.

DISTINGUISHING CHARACTERISTICS

This is a fully qualified, experienced level administrative classification in the management support and analysis job family. Incumbent(s) performs the full range of administrative support duties under general supervision. Classification requires solid knowledge of transactional and / or work standards for completing tasks and assignments of a varied nature. Work may vary from basic to more complex duties and issues but are generally within expected parameters.

This classification is distinguished from the Management Support Technician classifications by the coordination of projects and programs for the Fleet division and by the development and implementation of systems and system efficiencies.

Examples of Duties

ESSENTIAL DUTIES

The following are intended to describe core work functions of this classification. While the level and broad nature of essential duties may not change, specific work tasks will vary over time depending on the Town's needs.

  • Performs routine paraprofessional duties including directing or participating in gathering information, performing routine analyses and writing reports; developing new or improving existing systems, developing procedures and forms to increase efficiency, and maintaining inventory and work order management systems.
  • Coordinates communication and scheduling of all fleet vehicles to include vehicle preventative maintenance, vehicle repair work, vehicle warranty work, and vehicle availability.
  • Determines the cost effectiveness of off-site vehicle and equipment repairs; initiates contracted services repairs and off-site transport; authorizes payment for services; and monitors the contracted service budget.
  • Manages and coordinates new vehicle upfitting to include managing the transportation of all vehicles to necessary vendors.
  • Works with procurement staff to establish contracts for vendor services managed by the Fleet Services Section; maintains and oversees vendor services contracts
  • Coordinates vehicle accident repairs and communicates / coordinates with other appropriate personnel to resolve accident damage claims.
  • Prepares information for Fleet / department meetings related to reviewing procurement timelines and updates, preventative maintenance schedules, and any noted issues or challenges
  • Prepares and closes work order reports at the end of each month and follow up on any outstanding items or issues.
  • Coordinates the implementation, integration, and updates to Fleet software programs or systems
  • Manages Town's motor pool vehicle program to review fleet utilization and processes returned motor pool vehicles.
  • Creates vehicle record in RTA fleet management information system; establishes maintenance criteria; and initiates and finalize the in-service process
  • Performs related work as assigned.

Typical Qualifications

MINIMUM QUALIFICATIONS (at job entry)

Education and Experience :

High School Diploma or GED and 3 years of related experience; or an equivalent combination of directly related education and experience. Associate's Degree preferred.
