JOB SUMMARY

Under limited supervision, is responsible for coordinating special events, including external and Town-sponsored events, through scheduling, planning, marketing, and any other event related tasks. Responsibilities include creating and developing all Parks and Recreation digital and print materials.  Additionally, develops and implements a social media strategy to enhance brand awareness and department growth.  

 

 

ESSENTIAL JOB FUNCTIONS

  • Plans, organizes and implements all elements of Town events and special ceremonies with tasks including: scheduling events, booking Town facilities, conducting all event set-up, break-down and clean-up, and organizing/ soliciting vendors and sponsors.  These events may include (but are not limited to) Fireworks and Freedom Fest, Movies in the Park Series, Sounds on the Square Concert Series, Truck-or-Treat Halloween event and Christmas Tree Lighting.
  • Manages any pre-event logistics including; hanging banners, posting signage, submitting permits, distributing marketing materials, communicating with vendors and contracted services, and other duties as required.  
  • Supervises part time employees and volunteers at events.
  • Collaborates with outside agencies/organizations regarding special events. Including frequent communication with Summerville DREAM & Visit Summerville staff member. 
  • Establishes and maintain relationships with vendors, merchants, contractors including maintaining an up-to-date vendor list.
  • Coordinates with Town departments and officials to effectively communicate information about Town programs and events.
  • Manages Parks and Recreation social media accounts and coordinates with Town PIO to distribute social media information about Parks and Recreation Programs and events including; Town special events, youth athletics, Rollins Edwards Community Center information, and Tennis. 
  • Creates all Parks and Recreation in house marketing materials including; flyer, brochures and social media graphics to promote RECC programs and events, youth athletics, adult athletics, tennis programs, Town special events and Farmers Market. 
  • Processes special event permit applications for all parks and other town owned property including; tracking down missing materials and payments, handling all questions and conflicts related to permits, maintaining master event calendar, and coordinating with other departments. 
  • Operates a personal computer and other general office equipment as necessary to complete essential functions, to include the use of word processing, spreadsheet, database, or other system software.
  • Performs other related duties as required.

MINIMUM EDUCATION AND EXPERIENCE

Bachelor’s degree in parks and recreation management, business management, hospitality management, marketing, or related areas, and a minimum of three (3) years’ experience in parks and recreation or event management, or any equivalent combination of education and experience that provides the required knowledge, skills, and abilities.  Must be computer literate, skilled with Microsoft Office products and possess the ability to learn software used by the Town. Experience with Adobe Illustrator preferred.  Must possess a valid SC driver’s license.

KNOWLEDGE, SKILLS AND ABILITIES

  • Knowledge of the methods, procedures, and policies of the Parks & Recreation department as they pertain to the performance of duties of the Special Events Coordinator. 
  • Knowledge of the laws, ordinances, standards, and regulations pertaining to the specific duties and responsibilities of the position.  
  • Knowledge of the principles of event planning/management. 
  • Knowledge of the technical terminology used within the department.
  • Knowledge of proper English usage, punctuation, spelling, and grammar.  
  • Knowledge of modern office practices and technology; skill in the use of computers for word and data processing.
  • Knowledge of how to maintain effective relationships with personnel of other departments, professionals, and members of the public through contact and cooperation. 
  • Knowledge of how to react calmly and quickly in emergency situations.
  • Skill in organization, technical work, and human relations.  
  • Skill in applying extreme attention to detail as necessary in preparing records, reports and correspondence.       
  • Ability to interact with the community, specifically customers to schedule events and participate in discussions to gather information for improving the services provided.  
  • Ability to handle multiple tasks at one time. 
  • Ability to communicate effectively with members of the public and deal with the public in a professional manner.   
  • Ability to offer assistance to co-workers and employees of other departments as required.  
  • Ability to take the initiative to complete the duties of the position without the need of direct supervision.  
  • Ability to plan, organize, and prioritize daily assignments and work activities.  
  • Ability to learn and utilize new skills and information to improve job performance and efficiency.  
  • Ability to handle required mathematical calculations. 
  • Ability to read and interpret various materials pertaining to the responsibilities of the job.  
  • Ability to assemble and analyze information and make written reports and records in a concise, clear, and effective manner.  

PHYSICAL REQUIREMENTS

Tasks require the ability to exert moderate physical effort, but which may involve some lifting, carrying, pushing and/or pulling of objects and materials of light weight (15-20 pounds). Tasks will require you to spend prolonged amounts of time outside in direct sunlight.
