Overview
The Deputy Clerk plays a vital role in supporting the administrative functions of the office, ensuring efficient operations and providing essential clerical assistance. This position requires a detail-oriented individual with strong organizational skills and the ability to manage various tasks in a fast-paced environment. The Deputy Clerk will assist with monthly financials, accounts payable, backup for payroll, back up for human resources, data entry, and customer service, contributing to the overall effectiveness of the department.
Responsibilities
- Perform clerical duties including filing, data entry, and document preparation.
- Assist in HR record retention, payroll, track and monitor all sick/vacation time.
- Assist with the Town cemetery, communicate with lawn service and maintenance.
- Handle cash transactions and maintain accurate financial records.
- Back up for town water clerk, take and post payments to water billing system.
- Respond to inquiries from the public and provide information records, applications for rentals or building applications.
- Maintain confidentiality of sensitive information in compliance with legal standards.
- Collaborate with other staff members to ensure smooth office operations.
- Assist with annual open enrollment
- Train as a backup for Annual Budget, Banking Services, Financial Obligations, Annual Audit. Tax Prep for 1099
- Assist and maintain web page for town hall and social media sites.
- Coordinate with other office workers to order supplies
- Obtain quotes for various purchases in accordance with state law
Skills
- Proficient in clerical and administrative tasks with strong attention to detail.
- Experience with word processing, maintaining excel sheets.
- Ability to conduct thorough research and compile relevant information efficiently.
- Strong organizational skills to manage multiple tasks effectively.
- Experience in data entry with a focus on accuracy and timeliness.
- Knowledge of cash handling procedures is beneficial.
- Excellent communication skills, both written and verbal, to interact professionally with colleagues and the public.
