SUMMARY:
The Administrative Assistant is responsible for providing essential support to the Administrative Officers by managing
confidential and time-sensitive information. The Administrative Assistant handles a variety of administrative tasks related
to organization and communication, contributing to the smooth and efficient operation of the hospital.

ESSENTIAL FUNCTIONS:
- Manage incoming calls, emails, and in-person inquiries, directing them appropriately.
- Schedule and coordinate meetings, appointments, and committee meetings.
- Maintain and organize filing systems (both digital and physical).
- Assist in developing, updating, and maintaining administrative systems for efficiency.
- Prepare, review, and distribute reports, policies, and procedures.
- Perform general office duties such as data entry, document preparation, copying, scanning, and filing.
- Handle confidential information with discretion.
- Support various projects and assist in administrative problem-solving.
- Sort and distribute mail and other communications.
- Assist in designing and updating forms, documents, and hospital procedures.
- Record and transcribe meeting minutes accurately.
- Perform other related tasks as needed.
KNOWLEDGE, SKILLS, AND ABILITIES:
- Strong organizational and multitasking skills.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint).
- Excellent verbal and written communication skills.
- Ability to maintain confidentiality and handle sensitive information.
- Attention to detail with a high level of accuracy.
- Problem-solving skills and ability to adapt to changing priorities.
- Professionalism and customer service skills when interacting with staff, patients, and external parties.
EDUCATION AND EXPERIENCE:
- High School diploma or GED
- Two (2) years of administrative experience in a similar role
- Basic Life Support (BLS) certified
- Valid Texas Driver’s License
