Position Title: Part-time Receptionist
Department: Administration
Hours: Saturday 10:30 am-8:00 pm, Sunday 10:00 am-7:00 pm and Monday 11:00 am-9:00 pm.
Salary: $16.50 per hour
Position Summary:
The receptionist provides general office support with various clerical activities and related tasks. The receptionist will be responsible for answering incoming calls, directing calls to appropriate associates, managing the flow of correspondence, greeting customers, and performing other clerical duties.
Essential Duties & Responsibilities:
- Maintaining the company directory
- Create a salesperson’s weekly schedule and distribute it to the appropriate department heads.
- Keeping daily attendance of different departments.
- Takes messages and filters calls for the General Manager
- Answers incoming calls and directs the caller to the appropriate person or department.
- Communicates professionally, courteously, and efficiently with callers, minimizing when a caller is on hold. Inform the caller if there is no answer or if they want a voicemail.
- Takes messages, if requested by the caller, including full name, time of call, reason for call, and return number.
- For general inquiries, provide callers with information such as the company address, directions to the company location, company fax numbers, company website, and other related information.
- Receives and forwards correspondence about overnight mail such as UPS/FedEx.
- Greets and directs visitors.
- Responsible for test-drive vehicle plate assignments.
- Reviews and prepares Repair Orders and Parts Counter Tickets for scanning
- Adds sales calls for the month and turns into the General Manager
- Assisting in signing service customers out for “late night pick-ups”
- Logging lost IDs/Driver’s License
- Ensuring the Receptionist's desk is stocked with supplies, such as pens, hand sanitizer, and tissue boxes.
- Provides other clerical assistance to the business office.
- Maintains a professional appearance.
- Keeps reception area neat and clean
Education & Experience:
High school diploma or equivalent. Related experience is not required but is a plus.
Skills:
Due to our demographics, the ability to communicate in Spanish is preferred, although not required. The ability to read and interpret documents such as procedure manuals. The ability to understand and operate a computer and multi-line phone system.
Physical demands:
While performing the duties of this job, the employee is regularly required to sit, use hands to finger, handle, or feel and use a computer, frequently talk, hear, and reach with hands and arms, and occasionally lift and/or move up to 10 pounds. Specific vision abilities this job requires include close vision and the ability to adjust focus.
