Position Summary: The Bid Coordinator will play a crucial role in the end-to-end management of the bidding process for potential projects and tenders. This position is responsible for supporting the preparation, submission, and tracking of bids, ensuring all requirements are met, and deadlines are adhered to. The Bid Coordinator will work closely with various internal teams, including sales, technical, and legal departments, to gather necessary information and prepare compelling proposals for clients.
Responsibilities and Duties:
- Bid Preparation: Assist in the preparation and coordination of bid submissions, ensuring compliance with all requirements, guidelines, and deadlines.
- Document Management: Organize and maintain bid documentation, including technical specifications, commercial terms, and project plans. Ensure that all documents are up to date and easily accessible.
- Proposal Development: Collaborate with cross-functional teams to collect required inputs and develop high-quality proposals tailored to the client's needs.
- Tracking & Reporting: Monitor bid progress, track deadlines, and keep stakeholders informed about the status of ongoing bids.
- Client Communication: Communicate with clients and vendors to clarify bid requirements, seek additional information, and address questions or concerns.
- Tender Administration: Prepare and submit responses to Requests for Proposal (RFPs), Requests for Information (RFIs), and Invitations to Tender (ITTs).
- Compliance & Quality Control: Ensure all submissions meet legal, commercial, and technical requirements. Maintain high standards of accuracy, consistency, and professionalism.
- Post-Bid Activities: Support post-bid activities, including bid evaluations and feedback collection.
- Continuous Improvement: Contribute to the improvement of bid processes, templates, and strategies to increase the success rate of winning bids.
- All other duties as assigned.
Qualifications and Experience:
- Experience/Qualifications Required:
- Proven experience in bid coordination, project coordination, or similar role, ideally in Mechanical industry.
- Previous experience with Mechanical bids and tendering processes
- Job Skills:
- Strong organizational skills with the ability to manage multiple bids simultaneously.
- Excellent written and verbal communication skills.
- Detail oriented with a strong focus on accuracy and quality.
- Ability to work under pressure and meet tight deadlines.
- Familiarity with bid management software and tools is a plus.
- Knowledge of tendering process and procurement best practices.
- Strong interpersonal skills and ability to work collaboratively with cross-functional teams.
- Experience working with Excel, Word, and Outlook.
- Education:
- Bachelor’s degree in business, engineering, marketing, or a related field. Equivalent work experience will be considered.
- Physical Requirements:
- Eyesight correctable to 20/50
- Capable of occasional travel to client sites as required.
- Special Requirements:
- Valid driver’s license.
- OSHA 10 hours.
