Job Summary:
The Office Manager / Bookkeeper will play a crucial role in maintaining efficient office operations and ensuring accurate financial records. This individual will handle bookkeeping tasks, manage administrative duties, and provide support to the engineering team to keep the office running smoothly.
Key Responsibilities:
Bookkeeping & Financial Management:
- Maintain and update financial records using Quickbooks
- Process accounts payable (AP) and accounts receivable (AR)
- Reconcile bank statements, credit card transactions, and expense reports
- Prepare and process payroll and maintain employee records
- Assist with budgeting, forecasting, and financial reporting
- Handle invoice generation and collections
Office Management & Administration:
- Oversee day-to-day office operations and ensure a productive work environment
- Maintain and organize files, records, and correspondence
- Coordinate scheduling, meetings, and travel arrangements
- Order office supplies and manage vendor relationships
- Ensure compliance with company policies and procedures
Human Resources & Employee Support:
- Assist with new hire onboarding and benefits administration
- Maintain employee records and assist with HR documentation
- Serve as a liaison between management and employees for office-related inquiries
Qualifications & Skills:
Required:
- 3 years of experience in bookkeeping and office management (preferably in an engineering, construction, or technical environment)
- Proficiency in QuickBooks (or similar accounting software), Microsoft Office (Excel, Word, Outlook)
- Strong knowledge of accounting principles, payroll processing, and financial reporting
- Excellent organizational, multitasking, and problem-solving skills
- Strong communication and interpersonal abilities
- High level of attention to detail and accuracy
Preferred:
- Experience in an engineering or technical firm
- Knowledge of project-based accounting
- Familiarity with industry regulations and compliance
