Overall Job Summary
This position is responsible for office duties such as answering correspondence, word processing, coordinating calendar, meetings and agendas, scheduling travel, some filing, and phone answering.
Essential Duties and Responsibilities (Min 5%)
- Prepares letters, dictation, presentations and projects delegated by the Chairman of the Board & CEO
- Coordinates meetings, special projects, events for operations, weekly meeting agendas, processes online expense reports, various reports, or other administrative support
- Prepares agendas, notes, copies, etc. for the Chairman of the Board & CEO
- Prepares the agenda for the Management Committee, Executive Committee, and Quarterly Business Review meetings
- Coordinates customer challenges with appropriate personnel, determines resolution, and draft a letter for the Chairman & CEO to sign
- Schedules travel (flights, boarding passes, hotel and rental cars) for Chairman & CEO
- Assists in monitoring the Travel Policy for compliance (# officers per plane)
- Schedules, coordinates, plans, and organizes: Quarterly Business Review Meetings; EC Trips; Other Meetings as needed
- Coordinates the logistics of Board of Directors Meetings
- Maintains the Store Support Center Annual Meeting Schedule
- Creates weekly sales reports for Chairman & CEO
- Sends monthly reports to stores and DM’s with a note from the Chairman (Sales Leaderboard)
- Reviews mail for Chairman, highlights important information, discards unnecessary mail, records appointments
- Maintains Departmental Directory saved on Outlook
- Answers phone for Chairman when he is not available, takes messages
- Troubleshoots office equipment issues and if not resolved, coordinates with IT or Office Services
- Coordinates schedule of Supreme Court meeting room
- Updates wall maps in SVP CPO and Chairman’s offices and in the Supreme Court
- Keeps Chairman informed of any pertinent information
- Maintains a “stores visited” file for the Chairman of the Board
- Maintains basic office supplies for Executive Department
- Maintains tickle file for Chairman
- Conducts research as requested
- Prepares documents from dictation and hand written notes.
- Maintains Company Directory – (Business Continuity Plan)
- Orders meals for meetings
- Assists other EC Members when their assistant is out of the office
- Learns new office equipment as needed
Required Qualifications
Education from an accredited college or university or five years of executive support experience; any suitable combination of education and experience will be considered. Retail experience preferred.
Preferred knowledge, skills or abilities
- Ability and proficiency use of spreadsheets and word processing, specifically Microsoft Office
- Demonstrate strong communication, organizational, and multi-tasking skills
- Ability to self-motivate, work with a sense of urgency, and to prioritize tasks
- Ability to work independently, positively handle conflict, and work in a fast paced environment
- Good organizational, communication, and analytical skills
- Display a detail-oriented approach to daily activities and a self-starter attitude
- Experience with Microsoft Outlook, Word, PowerPoint and Excel preferred
