Our client, a family-owned & operated trucking company in Dallas, TX recognized as one of North America’s largest asset-based, temperature-controlled transportation & logistics providers, and valued by a wide range of Fortune 500® companies, has engaged us to place a professional, proactive, highly organized & solutions oriented individual in the role of Executive Assistant (EA) to the President. The President has a lot of demands on his time and is in need of a strong right hand/gatekeeper capable of managing multiple priorities in a fast-paced environment. The EA will provide administrative, logistical & project management support, as well as a small amount of personal support, allowing the President to focus his time & energy on the areas of the business that require his attention.
The EA will also assist the President as needed with external investments, family commitments & philanthropy he’s involved with, and be entrusted with sensitive & confidential information, displaying the highest level of discretion and trust at all times. An exceptional attention to detail, excellent communication skills, ability to seamlessly multi-task & identify priorities, as well as work well independently and as a team, is essential in this role. Hours: 8:30/9am-5:30/6pm w/flexibility to stay later when needed (projects/activities that require the EAs support. While there’s minimal need/expectation for after hours/weekend support, flexibility is needed to receive communications via email/text/phone outside of normal business hours, responding to urgent needs immediately, and prioritizing others accordingly (next business day, etc.). Hybrid: 4 days in-office, 1 work-from-home w/day TBD - EA may also have opportunity to WFH when President is traveling)

Key Responsibilities Include (but not limited to):
- Act as a gatekeeper, providing a bridge for smooth communication between the President, his direct reports, company staff and outside parties.
- Proactively maintain the President’s calendar, ensuring seamless coordination, prioritizing the most time sensitive matters as scheduling conflicts & last minute requests arise, and ensuring all documents are prepared in advance of meetings.
- Work closely with the President to keep him well informed of upcoming commitments & responsibilities, following up appropriately.
- Receive, review, and respond to communications in a timely & professional manner; determine the importance of the communication, summarize, and distribute to the President and/or company personnel.
- Coordinate travel arrangements and logistics (private jet) for the President (& family as needed), create detailed travel itineraries, submit related expense reports, and prepare him for all travel as needed (ensure he has tickets, photo ID, passport, itineraries, etc.).
- Monitor the President’s email inbox, filtering & categorizing, prioritizing what needs immediate attention while maximizing productivity, and responding accordingly as needed/directed.
- Coordinate internal/external meetings & calls, including scheduling/logistics, gathering background information, drafting agendas, preparing materials and presentations, and sending reminders.
- Attend meetings as requested, take/track meeting notes (using AI), and create action items to ensure that follow-through and accountability are maintained.
- Assist with company & personal/family event planning/coordination (dinners, executive retreats, customer outings, charity events etc).
- Build relationships with the President’s core team/direct reports.
- Act as a "barometer," having a sense for the issues taking place in the office, keeping the President updated as needed.
- Prioritize inquiries & requests while troubleshooting conflicts; make judgments and recommendations to ensure smooth day-to-day engagements.
- Answer the phone, take accurate messages, keep track of President’s whereabouts, and handle urgent calls with appropriate judgment.
- Manage, compose and prepare confidential correspondence, reports, and other complex documents, proofing & editing of all documents to ensure accuracy & consistency.
- Manage sensitive matters with a high level of confidentiality and discretion.
- Organize & maintain filing systems, and further refine systems & processes to maximize efficiency.
- Maintain address/contacts lists, and be proactive in recognizing when to send thank you notes, gifts, etc. to personal & professional contacts, and recognizing employee birthdays etc.
- Provide personal assistance as needed (ex: personal travel, gift purchasing, appointments, vehicle (over 20 ) maintenance/registration, etc.)
- Liaise with personal & business associates, philanthropic contacts and clients as needed.
- Other related duties as assigned.
Experience/Education:
- Minimum 5 years EA experience working in a fast-paced environment, with 2 years of experience directly supporting C-suite/high-level executives.
- MS Office (365) proficiency; AI experience; tech savvy.
- Bachelor’s Degree ideal, but not required.
Compensation/Benefits:
- Base Salary: $125-$150k (DOE) performance based bonus up to 10%
