Summary:
The Payroll Specialist is the subject matter expert in ADP Workforce Now and responsible for efficiently and accurately managing and processing payroll operations for the family of companies. This position leads all payroll functions, including multi-state and multi-company payroll setup, entry, processing, reporting, analysis, and tax compliance for 600 employees; and works closely with the HR and finance teams to ensure employees are paid correctly and on time.
The payroll specialist is critical to the success of payroll and process efficiency initiatives for the organization and will oversee the day-to-day operations of the HR Information System, including timely processing of personnel data, data integrity, data analysis and reporting.
Responsibilities:
Payroll (65%)
- Performs payroll entry and semi-monthly processing for the family of companies.
- Records and inputs employee information such as personal data, compensation, benefits, tax data, new hires, terminations, and changes.
- Manages workflow to ensure all payroll transactions are processed accurately and timely.
- Calculates and processes manual and special checks; reviews, edits and makes corrections and adjustments as needed.
- Oversees the calculation of wages, overtime, and deductions to ensure compliance with federal and state regulations, including wage and hour laws.
- Processes exception payrolls and adjustments.
- Reconciles payroll prior to transmission and validates confirmation reports.
- Ensures accuracy in payroll input and overall data integrity.
- Oversees time and attendance, leave accruals, coding of leaves, and its flow into payroll.
- Audits time and attendance information from time clock details.
- Performs payroll audit for all payroll entry made by the HR team.
- Maintains GL functions in the system and coordinates and facilitates changes in the GL with Accounting departments as necessary.
- Oversees the processing of W-2s and assists Accounting with annual income tax filings.
- Establishes new companies and new states in payroll and benefits; conducts research and ensures compliance to specific state, county, and local requirements.
- Manages multi-state payroll tax issues; stays current on tax compliance issues.
HRIS/Reporting (20%)
- Works closely with ADP on system improvements and efficiencies.
- Assists with the preparation of budget and incentive schedules.
- Responsible to provide effective and efficient management of the HR system.
- Compiles data for annual EPLI renewals.
- Compile data and reports for both internal and external audits.
- Performs group data updates, exports, imports, clean-ups, and research/reports on any data discrepancies.
- Responsible for the analysis, maintenance, and communication of records required by federal, state, and local laws, regulatory bodies, and other departments in the organization.
- Participates in benchmark surveys and studies to proactively identify market trends.
- Provides payroll data for work comp and general liability policies and premium audits.
- Performs formal and informal systems related training for employees and management.
Compensation (10%)
- Serves as a back-up and support to the Senior Compensation analyst.
- Ensures proper distribution of non-qualified executive compensation programs, to including stock options, executive fringe benefits, and retirement plans.
- Participates in annual market benchmark studies (including salary surveys and peer group analysis). Analyzes and provides salary adjustment recommendations.
- Responsible for the preparation and distribution of the annual Total Compensation Statement.
- Ensures all compensation programs are compliant with State and Federal regulatory and compliance requirements including tax reporting.
- Prepares annual reports, including eligible compensation reports and leave liability reports.
- Assumes primary role in financial/payroll audits.
- Develops and provides education and communication to management and employees at all levels of the company regarding compensation programs.
- Completes compensation related projects as assigned.
HR General (5%)
- Reviews processes and procedures to implement changes to improve department performance; analyzes department needs and translates them into proper business system requirements.
- Performs, tracks progress, and meets deadlines for specialized work projects.
- Develops policies, procedures, guidelines, documentation on related functions.
- Proactively communicates with employees and responds in a timely manner as necessary.
- Ensures the accuracy and timely payment of invoices.
- Prepares and submits any employment verification request forms received from various institutions.
- Appropriately maintains confidentiality of all information obtained in the course of performing this job.
- Maintains appropriate files in compliance with internal and external requirements.
- Oversees records retention for the department and supply ordering.
- Coordinates and assists with employee events and activities.
Qualifications:
- Working knowledge and hands-on experience with ADP Workforce Now required.
- Bachelor’s degree in business, accounting, human resources or related field required.
- Minimum of 3 years direct payroll processing experience, to include strong working knowledge and/or experience in salary administration.
- An equivalent combination of education and job-related experience will be considered.
Salary : $65,000 - $80,000
