Job Overview
We are seeking a highly organized and detail-oriented Office Administrator to join our team. This is a fast-paced environment. The ideal candidate will play a crucial role in ensuring the smooth operation of our office by managing administrative tasks, supporting staff, and enhancing overall efficiency. This position requires strong communication skills, a proactive approach to problem-solving, and the ability to manage multiple responsibilities effectively. The job will have physical tasks (stocking inventory, setting up registration, arranging lunch for events and maintain a clean kitchen). Some of the events are on the weekends, so this individual must be abl to work Saturday and Sunday. Monday and Tuesdays will be given off when working weekends.
Responsibilities
- Oversee daily office operations and ensure a welcoming environment at the front desk.
- Manage phone communications with professionalism and courtesy, addressing inquiries and directing calls as necessary.
- Organize and maintain office files, records, and documentation in an efficient manner.
- Coordinate event planning for company meetings, and other organizational events.
- Support office management tasks including inventory management of supplies and equipment.
- Collaborate with team members to enhance workflow and improve office processes.
- Provide clerical support including data entry, report generation, and correspondence management.
Skills
- Excellent telephone and customer service skills; ability to greet customers and ensure they feel welcome and comfortable.
- Must be a self-starter who is well organized and can work without a lot of direct supervision; able to ask for direction or additional help when needed.
- Excellent communication skills, both verbal and written.
- Strong organizational skills with attention to detail.
- Proficient in clerical duties with experience in office management.
- Ability to manage multiple tasks simultaneously while maintaining a high level of accuracy.
- Familiarity with event planning processes and best practices.
- Experience in team management is preferred but not required.
- Knowledge of phone etiquette to ensure professional interactions with clients and colleagues.
