Boutique Houston bankruptcy law firm is seeking an entry-level legal intake specialist and backup receptionist. Ideal candidate will be able to multi-task, have excellent telephone and communication skills and be proficient in the Microsoft Office suite of products. NO prior experience required. Bilingual a plus!
Position Responsibilities:
- Schedule, confirm and conduct initial client interviews over the phone, collecting essential details and data, and input details into the client portal
- Coordinate onboarding new clients by sending out necessary paperwork and putting together initial case files
- Answer, screen and forward calls in a professional manner, proactively assisting clients with what they need where possible
- Welcome clients and visitors upon arrival at reception
- Provide basic and accurate information in-person and via phone/email, proactively assisting clients with what they need where possible
- Process client payments
- Update the firm calendar as necessary and/or appropriate
- Maintain office files by scanning and organizing records in firm case management software
- Direct the flow of mail, faxes and deliveries to reach the intended recipients
- Assist with copying, scanning, faxing, emailing
- Maintain the waiting area, conference rooms and kitchen
- Prepare conference rooms for meetings and arranging refreshments if necessary
- Maintain inventory of stock, replenish office and kitchen supplies and take out the trash
- General office support
Hours: 9:00 a.m. to 5:00 p.m.
Job Type: Full-time
