- Prepare and send new client Welcome packs.
- Maintain updated client contact records using our Client Relationship Management (CRM) system.
- Maintain up-to-date organized cloud client files.
- Maintain appropriate turnaround time on incoming items (e.g., 24 hours for checks); track all paperwork and tasks that are pending.
- Schedule appointments through Calendly and maintain updated calendars for advisors; proactively contact clients to schedule initial meetings and annual reviews.
- Assist advisors with business expense reports.
- Answer incoming telephone calls, greet incoming clients and visitors.
- Process incoming mail; prepare and send outgoing mail for advisors.
- Manage vendor relations, including contract negotiation and subsequent deliveries
- Maintain office supply inventory.
- Regularly review internal news items, technology updates, and e-mail communications; report pertinent information back to advisors
- Plan and execute staff and client events/seminars as directed by the advisor.
- Maintain PlanWise Community Social Media presence.
- Prepare mass email communications, as directed by advisors.
- College degree preferred
- Minimum of 3-5 years of experience in the financial services industry is required
- Minimum of two years of experience in a client-facing role required
- Excellent communication and relationship management skills
- Strong computer desktop skills required: Microsoft Office Suite (Excel, Outlook, Word, etc.)
- Technology-forward
- Ability to adapt in a fast-paced environment
- High attention to detail
- Ability to learn quickly
- Demonstrated job stability
