Two Shifts Available, after Training, the options are:
- Monday through Friday: 11:30 AM to 8:00 PM or 1:30 PM to 10:00 PM EST.
- Monday through Friday: 1:30 to 10:00 PM (this shift receives extra pay)
Job Summary:
The Dispatch Coordinator is responsible for managing and coordinating transportation activities, ensuring that operations run smoothly and efficiently. The Dispatch Coordinator will handle vendor interactions, assist in negotiating rates, and ensure that all assignments are properly staffed. This role involves collaborating with various departments to optimize processes, maintaining accurate records, and enforcing safety protocols. Additionally, they will address any issues that arise and recommend improvements to enhance overall efficiency.
Essential Functions:
Transportation Coordination & Scheduling:
- Coordinate and schedule transportation activities, ensuring timely and efficient operations.
- Maintain accurate records of all transportation activities, including data entry into transportation management system.
- Collaborate with other departments to optimize transportation processes and improve service delivery.
Vendor Management:
- Communicate detailed information to vendors regarding their assignments and provide answers to ensure proper assignment staffing.
- Monitor transportation operations to identify and resolve any issues or delays.
- Answer inbound and outbound calls from vendors regarding transportation services.
- Assist in the negotiation of rates with vendors, ensuring that the rates are within acceptable margins and accurately enter the negotiated rates into the system.
- Respond quickly, professionally, and accurately to vendor inquiries regarding quotes and status updates.
Customer Service:
- Provide accurate, valid, and complete information both verbally and in writing to vendors and other stakeholders.
- Review and confirm information for scheduled appointments to ensure accuracy and avoid errors.
- Follow communication procedures, guidelines, and policies to ensure consistent and professional interactions.
Issue Resolution:
- Address issues and requests in a timely manner by providing solutions or contacting management and/or the appropriate department for further assistance.
- Assist in acknowledging and resolving complaints related to assignments and provide effective solutions.
Documentation & Reporting:
- Manage inbound and outbound calls, emails, and chats with knowledge and efficiency.
- Accurately document all inquiries, vendor interactions, transactions, comments, and complaints, entering all relevant information and outcomes into the system in accordance with current company policies and procedures.
Multitasking and Task Management:
- Work concurrently on a variety of tasks and projects, demonstrating the ability to prioritize and manage time effectively in a fast-paced environment.
- Collaborate effectively with team members, providing support and assistance as needed to achieve team goals.
Performance and Standards Compliance:
- Meet or exceed specific job duties in accordance with established performance standards and metrics, demonstrating a commitment to excellence in all tasks.
- Actively seek opportunities for improving processes and services, contributing to the overall efficiency and effectiveness of the team.
- Enforce safety protocols and ensure compliance with all relevant transportation regulations.

An essential function of all employees is to provide excellent customer service by being professional and respectful in daily interactions, and have strong attendance and punctuality. All employees are also expected to be timely and responsive in communicating with others.
Qualifications:
- Must live in the Tampa, FL. Area (Hybrid position after training).
- Must be able to attend 4 weeks of onsite training with No absences during this time.
- After Training, the permanent schedule is Monday through Friday 11:30 AM to 8:00 PM or 1:30 PM to 10:00 PM EST.
- Must have highspeed internet and a quiet background/workspace when working remotely.
- High school diploma or equivalent; Associates degree or additional education or certifications in logistics, transportation, or a related field is a plus.
- Proven experience in a dispatch or coordination role, preferably in the workers compensation industry. Minimum 2 years of customer service.
- Excellent communication skills, both written and verbal.
- Ability to stay calm and professional when communicating.
- Manage and prioritize tasks according to urgency and importance.
- Ability to work in a team environment, with the willingness to take on additional responsibilities when necessary.
- Must be able to work concurrently on a variety of tasks/projects in diverse and teaming environment.
- Meet or exceed specific job duties in accordance with performance standards.
- Strong problem-solving skills with the ability to handle multiple tasks and prioritize effectively.
- Ability to negotiate effectively with vendors and manage relationships.
- Attention to detail and accuracy in data entry and record-keeping.
- Tech-savvy with the ability to work from multiple applications. Proficient in basic PC operations, including Windows OS, internet, and mainstream web browsers.
- Bilingual in English/Spanish is a plus.
