Primary Job Responsibilities:
- Greet patients and visitors in a friendly and professional manner, providing exceptional customer service.
- Handle incoming calls, schedule appointments, and assist with patient inquiries, ensuring accurate and prompt communication.
- Register patients, collect necessary information, verify insurance coverage, maintain confidentiality and adhere to privacy regulations.
- Manage patient check-in and check-out processes efficiently, updating patient records and collecting payments as needed.
- Maintain the reception & lobby area, ensuring cleanliness, organization, and a welcoming atmosphere for patients.
- Coordinate patient flow, including managing waiting times, optimizing appointment scheduling, and addressing urgent cases promptly.
- Assist healthcare providers and medical staff with administrative tasks, such as scanning documents, filing, and data entry.
- Manage electronic health records (EHR), accurately documenting patient information and updating records as required.
- Coordinate with laboratory and diagnostic imaging services, scheduling and tracking patient appointments and results.
- Handle verifying insurance coverage and addressing simple billing inquiries.
- Collaborate with the healthcare team to facilitate seamless coordination of patient care and effective communication.
- Maintain inventory of office supplies and ensure their availability for smooth clinic operations.
- Follow established protocols and procedures, maintaining compliance with HIPAA and other relevant regulations.
- Assist with patient education materials, ensuring they are up to date and readily available in the reception area.
- Provide support during emergencies, such as contacting emergency services and guiding patients to safety.
- Attend training sessions and professional development opportunities to enhance skills and stay updated on clinic policies and procedures.
- Assist patients in accessing and troubleshooting the patient portal; communicating the purpose and function; sending and receiving messages in relation to scheduling and medical records.
- Performs other related duties as directed or required.
Education:
High school diploma or general equivalency diploma (GED). Additional education or certification in healthcare administration is a plus.
Experience:
No prior experience necessary, however, proven experience as a receptionist or in a similar role, preferably in a healthcare setting is a plus. Willing to train.
PERFORMANCE REQUIREMENTS:
Knowledge:
- Knowledge of medical terminology and office procedures.
- Knowledge of grammar, spelling, and punctuation to type from draft copy and review and edit reports and correspondence.
- Knowledge of basic arithmetic to make calculations, balance and reconcile figures, and make changes accurately.
Skills & Abilities:
- Skill in operating office equipment.
- Skill in organizational matters including time management, prioritization, and multitasking.
- Skill in writing and communicating effectively.
- Skill in problem-solving.
- Ability to type 60 words per minute using word-processing software. Able to learn/use other computer programs including Microsoft® Excel, e-mail, Internet, and Microsoft® PowerPoint.
- Ability to read, understand, and follow oral and written instructions.
- Ability to sort and file materials correctly using alphabetic or numeric systems.
- Ability to communicate clearly and concisely.
- Ability to establish and maintain effective working relationships with patients, physicians and other clinical staff, and the public.
- Ability to competently use Microsoft Office, including Word, PowerPoint, Excel, and appropriate practice management software.
Physical Requirements: Must possess the physical and mental abilities to perform the tasks normally associated with administration such as manual dexterity to operate office machines including computer and calculator; stooping, bending to handle files and supplies, sitting for extended periods of time. Stress can be triggered by multiple staff demands, patient interactions and deadlines.
Work Environment: Medical office, well lighted, well ventilated. All staff are expected to keep their work areas clean and free of clutter, as well as maintaining the break room by cleaning up after themselves, and occasionally serving one another by cleaning surfaces, putting dishes away, etc.

Position and Wage:
Part-time/Casual hourly position available. Starting at $17 (depending on experience) with the opportunity for growth based on merit and benchmarks with the company. Training provided.
