We are a professional services firm that provides third-party retirement plan administration services for companies that sponsor Employee Stock Ownership (ESOPs) and 401(k) Plans. Our offices are located in Charlottesville, VA, Columbia, MD, Columbus, OH, Westchester, IL, Pasadena, CA and Maple Grove, MN, although our client base is nationwide. We are one of the top 2 companies that provide ESOP recordkeeping and administration services in the country, and we continue to grow our retirement services business (401(k), DB, CB, etc). We are seeking sharp, detail-oriented, dedicated individuals to join our team.

We are hiring a Sales Support Specialist

At Blue Ridge Associates, we make it easy for retirement plan professionals and sponsors to provide wealth building benefits to business owners and their employees. Our sales team works hard to attract new clients who want to provide benefits to their employees, while our plan administrators seamlessly deliver our solutions to administer these plans, including ESOP, KSOP, 401(k) and more. Together, we work to grow our services to new business and existing accounts so that we can help more people achieve financial independence and leave a legacy for their family.

The Sales Support Specialist plays an important role in this mission. As a key player in our business development efforts, you will support both the sales team and the client services team as they work to expand our services to new and existing clients.

You will assist them with tracking new opportunities in the pipeline, creating presentations and proposals, planning travel, preparing service contracts and addendums, organizing files, working with the key stakeholders to facilitate the contract administration process for new services agreements as well post sale add-on agreements and addendums

Duties / Responsibilities :

1. New Business Support. Provide administrative support to the new business development team, including :

  • Collaborate with the sales team to prepare presentations and proposals for new business opportunities (i.e., RFP / bid response packages, sales quotes, etc.).
  • Support the sales team with collecting, entering, and maintaining accurate sales tracking information within the Company’s sales CRM system.
  • Assist with the coordination and scheduling of sales meetings and events, including the preparation, assembly, and distribution of notices, agendas, meeting materials, and travel arrangements.
  • Create new business contracts based on requirements from the sales team and collect signatures from all parties.
  • Track all contracts through to execution and ensure prompt delivery of fully executed agreements to all internal and external stakeholders, including but not limited to the client, the plan admin, the Finance team, the IT team, the senior leadership team and more.
  • Ensure a seamless handoff to the client onboarding team and close the opportunity.
  • Create weekly, monthly, quarterly, and yearly reporting on pipeline activity for the leadership team.

2. Account Management Growth Support. Provide administrative support to the plan administration team as they encounter cross-sell and upsell opportunities within existing accounts, including :

  • Track and organize new requests for service agreement addendums.
  • Prepare addendums for the plan administrator to review and approve.
  • Send addendum to all parties and collect signatures.
  • Track all addendum through to execution and ensure prompt delivery of fully executed agreements to all internal and external stakeholders, including but not limited to the client, the plan admin, the Finance team, the IT team, the senior leadership team and more.
  • Ensure all files are saved properly and the request is closed.
  • Create weekly, monthly, quarterly, and yearly reporting on pipeline activity for the leadership team.
  • Perform other duties as required to support the ongoing efforts for both business development and account management teams to meet revenue goals.

    Requirements :

  • You must be very organized. Multiple requests come in daily, and you will need to track, prioritize and respond promptly to meet demands and deadlines for both teams.
  • You must be a team player. This role requires collaboration across multiple departments in order to move proposals, contracts and addendums forward to execution and onboarding.
  • You must be proficient in Microsoft Word, Excel and Enterprise level CRM systems. Experience with Salesforce CRM, Conga contract software, Docusign and / or similar is preferred.
  • You must have experience creating proposals and responding to RFPs with a high rate of success.
  • You must have a general understanding of business contracts, master services agreements and addendums. Previous experience as a paralegal or similar role is helpful.
  • You must have general sales knowledge and business acumen.
  • Education and Experience

  • Bachelor’s degree in related field or equivalent preferred.
  • Minimum of 3 years’ experience as an administrative assistant, paralegal or similar role in a sales organization.
  • Experience in the financial services, financial administration, financial advising, financial planning or other financial industry is a huge plus.
  • Work Environment

    This job operates in a clerical office setting. This role routinely uses standard office equipment such as computers, phones, binding machine and copiers. The office environment and job duties include work conducted via in-person face-to-face meetings, video conferencing, telephone, and other interactions on the computer.

    Physical Demands

    This position requires manual dexterity, the ability to lift files and opening cabinets. This position requires bending, stooping or standing as necessary. Reasonable accommodations may be made to enable individuals with disabilities to perform the essential functions.

    Travel

    Travel may be required for this position.
